Position Overview:


We are seeking a highly motivated and detail-oriented Pharmacy Operations Coordinator to join our team. As a Pharmacy Operations Coordinator, you will play a critical and multifaceted role in optimizing our pharmacy operations and ensuring smooth day-to-day business activities. Working closely with the Pharmacist in Charge and collaborating with cross-functional teams, you will provide exceptional service, resolve complex tech issues, address intricate delivery problems, and enhance the overall customer experience. As part of this role, you will be required to obtain a Pharmacy Technician license if you don't already possess one. A can-do attitude and a consistent dedication to making our patients happy are of utmost importance in this position.


Responsibilities


Customer Experience Enhancement:


  • Use advanced customer experience measurement tools and analytics to gain insights into customer preferences, enabling the creation of tailored and personalized experiences.
  • Proactively identify and address intricate customer pain points, implementing innovative solutions to enhance the overall customer journey, satisfaction, and loyalty.
  • Be the solution-oriented problem solver, the go-to person who takes charge and swiftly resolves issues when they arise. Your ability to troubleshoot and fix problems will be instrumental in ensuring smooth operations and maintaining efficiency.
  • Champion a customer-centric approach, consistently delivering exceptional service that exceeds customer expectations and fosters long-lasting relationships.


Operational Excellence:


  • Resolve technical issues efficiently, leveraging troubleshooting techniques and staying abreast of the latest pharmacy software and hardware advancements.
  • Collaborate closely with the Pharmacist in Charge and cross-functional teams to optimize pharmacy operations and ensure the highest level of operational excellence.
  • Proactively identify areas for process improvement and implement strategies to streamline operations, maximize efficiency, and uphold quality standards.
  • Utilize forecasting techniques to monitor inventory levels in real-time, minimizing out-of-stock situations and optimizing stock levels.


Tech Support and Innovation:


  • Proactively identify areas for improvement in our mobile app's functionality and user interface, contributing innovative ideas and suggestions to enhance its usability and overall patient satisfaction.
  • Collaborate with cross-functional teams, including developers and UX designers, to implement enhancements and upgrades to the mobile app based on user feedback and market trends.
  • Serve as a trusted resource and expert in pharmacy technology, providing technical support to our patients and assist them with troubleshooting issues and resolving any challenges they encounter.
  • Engage in proactive and responsive communication with patients through our chat feature, promptly addressing their inquiries, concerns, and issues related to our pharmacy services.


Delivery Management and Optimization:


  • Collaborate closely with third-party delivery providers to establish and maintain strong working relationships, ensuring adherence to service level agreements and resolving any delivery-related issues that may arise.
  • Coordinate and schedule delivery pickups, ensuring accurate and efficient dispatching of orders to the respective delivery partners.
  • Oversee and manage the daily delivery operations of our pharmacy, ensuring smooth and timely order fulfillment through third-party delivery providers such as DoorDash, Roadie, USPS, UPS and FedEx.
  • Implement and enforce best practices and standard operating procedures for delivery operations, ensuring compliance with regulatory requirements and maintaining a high level of service quality.

Requirements


  • Ability to work independently as well as collaboratively with cross-functional teams
  • Excellent organizational skills and attention to detail
  • Flexibility to adapt to changing priorities and work schedules as needed
  • Demonstrated can-do attitude and a commitment to delivering high-quality service
  • Willingness to obtain a Pharmacy Technician license, if not already licensed
  • Familiar with general pharmacy terminology (SIG codes, brand, and generic names of medications)
  • Strong problem-solving abilities and ability to think analytically
  • Bachelor's degree in Operations Management, Business Administration, Healthcare Administration, or related field (or equivalent experience)
  • Experience working in a startup environment (or strong desire to do so)
  • Strong communication skills, both verbal and written
  • Exceptional customer service skills with a focus on patient satisfaction
  • Proficiency in using pharmacy management systems and other relevant software
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
  • Previous experience as a multi-site leader or leader of a high volume retail / mail order / fulfillment center / hospital system pharmacy
  • Ambitious and forward-thinking mindset
  • Knowledge of pharmacy laws, regulations, and industry best practices
