About the Role
Serves as legal assistant responsible for directly and independently supporting at least one but up to three Assistant United States Attorneys (AUSA) by providing a wide variety of technical assistance services. The work requires a specialized knowledge of the processes, procedures, and practices of legal assistance activities in conjunction with a knowledge of clerical and administrative office skills and an ability to apply these skills to increase the effectiveness of the assigned AUSA.
What you will do:

Legal Support:
  • Identifies and obtains information from law enforcement agencies, or other sources, and drafts and submits legal documents to the appropriate Federal Prosecutor (AUSA)
  • Provides assistance to attorneys in trial preparation by performing duties such as independently compiling trial notebooks, assembling jury instructions, and compiling witness and exhibit lists.
  • Develops tables of contents and indices for legal briefs in accordance with established format. Lists cited cases, opinions, and miscellaneous references in briefs.
  • Conducts legal research using original and online legal resources, verifies citations and statutory references contained in legal documents.
  • Reviews incoming material and independently determines immediate needs and preparation of a variety of legal and court documents, e.g., complaints, motions, orders, answers, pleadings, and subpoenas.
  • With limited guidance prepares/drafts legal actions including: indictments, criminal complaints, search warrants, judgments, applications, notices, affidavits, summonses, grand jury subpoenas, rules to show cause, proofs of claim, and satisfaction of judgement conforming with rules governing style and format.
  • Composes original letters and correspondence which require a good working knowledge of legal procedures and specialized legal terminology, e.g., transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants.
  • Examines, prepares and processes a variety of technical and complex legal documents
  • Coordinates with the victim/witness specialist to ensure adherence to current DOJ guidelines related to ‘victims’ rights and services responsibilities.
Clerical and Administrative Duties:
  • Searches legal reference files for information needed for interviews and correspondence
  • Maintains calendar of assigned active cases. Tracks filing, hearing, and trial dates, and scheduling conferences and interviews. Develops and maintains suspense system for ongoing cases and informs the AUSA of pending dates and deadlines. Maintains calendar(s) of the AUSA(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances.
  • Performs general clerical/administrative functions e.g., requesting supplies and equipment, processing time and attendance records, and maintaining administrative files.
  • As needed provides reception coverage when full-time receptionist is out of the office. Includes fielding incoming calls to the main phone number and determining proper routing of general information calls, receiving and checking in visitors and/or deliveries (including maintaining the office’s visitor log), preparing outgoing mail, and other various front desk duties.
  • Receives visitors and telephone calls
  • Assembles exhibits, affidavits, and other legal documents from file material, and separates, screens, selects, assembles, and organizes files and records material for disposition or transfer to records depository in accordance with established procedures.
  • Establishes and maintains a variety of files
  • Submits requests to obligate funds for litigation expenses and monitors for continued necessity. Reviews bills and invoices and submits to budget office for payment.
  • Provides technical support e.g., enlarging charts and photographs, duplicating tapes and videos, and marking exhibits.
  • Opens, updates and closes cases through use of the automated case tracking system.
  • Provides automated litigation assistance to attorneys in trial preparation and courtroom presentations. Utilizes various software applications and graphics hardware such as scanners and plotters. Prepares documents, charts, and visual materials for use in trials.
  • Produces a variety of written documents and materials utilizing a wide range of office software applications: tables produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desk top publishing text. Products include complicated tables, graphs, and charts which may be incorporated into legal documents or courtroom presentations.
  • Arranges travel by preparing itinerary, securing transportation, and hotel reservations. Prepares travel authorizations and vouchers for various staff members.
Minimum Qualifications & Skills:
  • Ability to review and analyze data and information from multiple sources
  • Ability to establish case/project files • Ability to enter and retrieve data from databases
  • Ability to prepare and correct reports and correspondence using word processing software
  • Assure information is accurate and perform analytical computations necessary to process data
  • High school Diploma or GED equivalent is required, associate’s degree is preferred
  • Good communication skills
  • Answer inquiries regarding case-related status
  • Maintain internal status information on the disposition of designated information, files, and assets
  • Ability to prepare and format management reports • Ability to manipulate, transfer, compute and print information
  • Provide administrative information and assistance concerning case or file to other agencies or organizations
  • Answer inquiries regarding case-related information as maintained in the database
  • Experience with word processing and data entry/retrieval
  • Obtain additional information from other agencies/organizations
  • Schedule appointments
