Job Description


The Operations Analyst serves as a full-time staff member in the Office of the General Counsel (OGC) and will report to the Senior Operations Analyst. The responsibilities will include analyzing data and creating reporting, managing day-to-day invoicing operations, and supporting the OGC (which includes Legal, Risk Management, Conflict of Interest, and Compliance) in its operations and use of its technology, as well as additional duties assigned as needed.


About the Work Unit:


The OGC provides issue management to all Vanderbilt University divisions and departments. The OGC commits to agile service delivery aligned with the university's mission, priorities, and needs.


Key Functions and Expected Performance:


Outside Counsel and eBilling Management


  • Coordinate and provide forecasts for outside counsel spend; manage budgets in matter management system
  • Coordinate with and assist outside counsel on billing setup and timely invoice submission
  • Review and manage outside legal counsel and ensure correct processing
  • Manage outside counsel purchase orders for OGC and other departments; communicate with departments and coordinate billing for new engagements
  • Enforce OGC Billing Guidelines with outside counsel


Reporting and Systems Management


  • Maintain detailed documentation of processes and data management
  • Prepare materials for presentations; draft sections of presentations and written documents
  • Create, run, and analyze reports within the matter management system and COI disclosure system
  • Create charts, graphs, and tables to summarize analysis results
  • Support office as a systems administrator in document management, COI disclosure, and matter management systems; drive best practices and provide input and assistance with technology implementations
  • Ensure the quality of the data and drive operational excellence in the analysis and reporting of the data


OGC Operational Support


  • Support day-to-day operational processes of OGC and support the Senior Operations Analyst in continuous improvement
  • Support a variety of project work as assigned


Education and Certifications:


  • A High School Diploma or GED is required
  • A Bachelor’s degree’s degree from an accredited institution of higher education is necessary.


Experience And Skills


  • Strong interpersonal communication skills are necessary.
  • Strong abilities in Excel and other technologies are necessary.
  • Experience with Tableau and Microsoft Power BI is strongly preferred.
  • Demonstrated ability to be successful working both independently and in a team setting is necessary.
  • Professionalism, organization, project management, initiative, creativity, problem solving, and attention to detail is necessary.
  • Ability to perform complex tasks and to prioritize multiple projects and competing deadlines is necessary.
  • At least 2 years of experience in a role that requires data analysis is necessary.
  • Strong quantitative and qualitative skills are necessary
  • Strong data analysis and statistical skills are necessary.
