Job Title: Medical Assistant

Reports To: Clinic Manager (Saint George)

Bilingual in English and Spanish required.


Compensation:
$17.00 + per hour depending on experience and certification. We also offer performance based increases.

FLSA Status: Non-Exempt

Benefits: 401K available on the 1st day of hire for Full and Part time employees, Family Healthcare will match dollar for dollar up to 3% and .50 cents on the dollar for the next 2% up to 5% of yearly earnings.

Profit Sharing: Full and Part time employees are eligible for up to 5% of yearly earnings after working with Family Healthcare for 6 months consecutively.

Required Vaccines and Tests: Covid-19, Influenza, Clear TB and Drug test. Additional Vaccines may be required.

Summary: The Medical Assistant works collaboratively and professionally with the other clinical staff, under the direction of the supervisor and in collaboration of the Provider Team, for the effective and efficient delivery of the medical care services. The duties of the Medical Assistant shall not exceed those duties permitted by Utah State Laws. The Medical Assistant is required to perform duties as outlined in this job description.

Pay is based upon demonstrated and verifiable experience. Resumes and valid professional references must be provided to verify skill and experience level.

Level I

Base Rate - Level I: $17.00 per hour (.80 cents for M.A. certification)

Eligibility: To be eligible for Medical Assistant I, one must have a high school diploma or GED and one-year of experience (preferred). A current Medical Assistant Certification from an accredited Medical Assistant School is also preferred. New employees must demonstrate competency in the first 90 days and have a resume and valid, professional references that indicate competencies.

Level I Basic Essential Duties and Responsibilities:

The essential duties and responsibilities include, but are not limited to:

Preparation and Documentation

  • Keep needed vaccine information sheets, USIIS records, patient records, lab testing products, etc. stocked.
  • Participate in Pre-Visit Planning
  • Update the Electronic Health Record (EHR) timely.
  • Gather patient information indicated on the encounter form and updates patient information, vitals, and medications in the EHR.
  • Coordinate efficiently telehealth visits with providers and patients to include ensuring patient connectivity, verifying consents are completed, etc.
  • Conduct Prior Authorizations for medications and procedures.
  • Add correct CPT codes to assessments and procedures, and complete codes corrections within 3 days.
  • Document use of medical supplies and sample medications when used (inventory control management).
  • Prepare medical charts
  • Scan all lab reports, correspondence, x-ray reports and other pertinent information (after reviewed and signed by provider) timely.
  • Review assigned charts timely.
  • Document all injections in patient chart and vaccine log form in a timely manner.

Lab

  • Check lab reports daily to ensure that all reports have been received and followed up on appropriately.
  • Follow all safety protocols (CLIA, OSHA, etc.) in the performance of all labs and other applicable procedures.
  • Draw and prepares specimens for transport.
  • Understand and effectively conduct Beach Tree Urine Lab processes.

Safety and Compliance

  • Maintain patient confidentiality in all aspects of the daily duties as well as during time when not at work.
  • Follow all policies and procedures.
  • Keep all certifications current including Medical Assistant Certification (if relevant) and Basic Life Support (BLS will be reimbursed by FHC).

Quality Assurance/Improvement

  • Conduct monthly quality control checks as directed by supervisor.
  • Ensure no medications or supplies are given that are expired.
  • Ensure that patients, including those with chronic diseases, receive optimal care.
  • Participate in Quality Improvement and Quality Assurance plan to continuously improve quality.
  • Complete all required quality assurance / quality improvement tasks.

Clinical

  • Check labs, and immunization records (including USIIS records) to ensure up to date status in EHR.
  • Prepare patients for examination including the identification of the chief complaint, taking of vital signs, height, weight and other appropriate tests and has necessary equipment in place for care provider to do the examination (including procedures); enters all information accurately into EHR.
  • Prepare for Provider procedures properly and timely.
  • Understand completely VFC process and immunization/vaccination schedules.
  • Conduct procedures as per Provider orders (lab draws, strep screens, Hct, BS, HCG, H-Pylori, HBA1c, hemoccult, injections, ear irrigations, urine analysis, drug screens, EKG’s, PKU’s, Fetal Non-Stress Test, retinal eye exams, or other tasks ordered by providers) proficiently.
  • Conduct all appropriate screening processes for care visits (cancer, depression, smoking, etc.)
  • Follow standing orders and/or provider instructions for medication administration.
  • Complete assigned “nurse visit” duties accurately, completely and with proper codes.
  • Perform injections properly and safely.
  • Keep ill patients comfortable and protected (masks and other protective equipment are used) until seen by a care provider.

Scheduling

  • Assures access to care.
  • Schedules follow up appointments.
  • Conduct follow-up calls with patients who no-show as needed.
  • Works to ensure patients are seen in a timely way through coordination with nurses, front desk, call center, provider, and other members of Family Healthcare.

Communication

  • Provide patients with needed information including but not limited to provider’s orders and medication information for samples.
  • Answer telephone and respond to voicemail at least daily.
  • Greet patients and answer telephone in a courteous and professional manner.
  • Respond to telephone encounters, “bubbles”, timely.

Infection Control

  • Follows all infection control policies and procedures.
  • Sterilize used medical instruments through proper sterilization procedures.
  • Maintain highest standards of infection control and cleanliness including cleaning exam rooms per infection control procedures.

Teamwork

  • Work with supervisor to complete “systems work” as needed.
  • Maintains smooth patient flow throughout clinic through open communication and coordination with others.
  • Other Duties as Assigned.
  • Assist other provider teams as needed.

Level II

BASE RATE - Level II:

Eligibility: To be eligible for Medical Assistant II, one must have a high school diploma or GED and have at least 2 years of general medical assistant experience consistent with the job duties. A current Medical Assistant Certification from an accredited Medical Assistant School is also preferred. New employees must demonstrate competency in the first 90 days and have a resume and valid professional references that indicate competencies consistent with the job duties

Level II Duties

Be able to perform all of Level II duties proficiently and additional perform additional duties below:

  • Routinely (per manufacturer instructions) check all equipment to ensure proper working order.
  • Assist other provider teams as needed.
  • Other duties as assigned.
  • Accountable for weekly and monthly Point of Care tests and machines.
  • Perform autoclave procedures and keep instruments clean, diligently sterilized, orderly, and ensure patient rooms are consistently clean and safe.
  • Notifies providers and Clinic Manager if any attention is needed on Level II machines and tests.

Level III

BASE RATE - Level III:

Eligibility: To be eligible for Medical Assistant III, one must have a high school diploma or GED and have at least 2 years of general medical assistant experience consistent with the job duties. A current Medical Assistant Certification from an accredited Medical Assistant School is also preferred. New employees must demonstrate competency in the first 90 days and have a resume and valid professional references that indicate competencies consistent with the job duties.

Level III Duties

Be able to perform all of Level I, and II duties proficiently and additional perform additional duties below:

  • Address patient complaints immediately (after completing customer service and compliance training), document properly and work on process improvement and communication to quality assurance.
  • Other duties as assigned.
  • Handle biohazard removal/disposal.
  • Reconcile VFC Consents (Monthly)
  • MA Training – verify competencies and train other Medical Assistants.
  • Problem solves immediate safety, risk, complaints, issues, concerns, and document and notify issues.

Level IV

BASE RATE - Level IV:

Eligibility: To be eligible for Medical Assistant IV, one must have a high school diploma or GED and have at least 4 years of general medical assistant experience consistent with the job duties. A current Medical Assistant Certification from an accredited Medical Assistant School is also preferred. New employees must demonstrate competency in the first 90 days and have a resume and valid professional references that indicate competencies consistent with the job duties

Level IV Duties

Be able to perform all of Level I, II and III duties proficiently and additional perform additional duties below:

  • Conduct daily walk through of facility with checklist (safety) and notify supervisor or Clinic Manager – of issues/concerns immediately.
  • First tier – emergencies if no supervisor present.
  • Complete VFC Quarterly Reports
  • Troubleshoot back-office equipment and conduct tier 1 problem solving to ensure smooth flow.
  • Maintain VFC/Private vaccine compliance including ordering, temperature tracking, and inventory management.
  • Order medical supplies, medications, and lab supplies
  • Other duties as assigned.
  • Notify supervisor of any staffing shortages or facility concerns. Be point of contact if supervisor is off site
  • Ensure problems are resolved in the patient flow throughout the clinic if a supervisor is unavailable to include knowledge of call and front office processes.

Qualifications - Education/Experience:

  • Ability to work well as a team, exhibit integrity, use good judgment and keep confidential information.
  • Basic familiarity with medical routine and terminology.
  • Current Medical Assistant Certification from an accredited Medial Assistant school preferred.
  • High school diploma/GEO and verifiable and pertinent experience in accordance with the level of the position.
  • Pass MA competency within first 90 days and annually.
  • Qualified in Basic Life Support Techniques.
  • Bilingual in English and Spanish strongly preferred.
  • Demonstrate reliable attendance and punctuality consistently.
