This is a hybrid position working with our NC team. Candidates must be within a commutable distance to one of our offices.


As a Marketing Associate/Proposal Specialist, your role on the team will be to support the pursuit process through the production of on-time, brand-compliant deliverables (statement of qualifications, request for proposals, and interviews) from RFQ intake through interview completion, debriefing, and closeout. In a deadline-driven environment, you will coordinate materials with multidisciplinary teams, maintaining professionalism and attention to detail. The Proposal Specialist will report to a Pursuits Manager.


Specific responsibilities will include the following:


  • Marketing administrative duties such as data entry, file formatting, general correspondence using email, etc.
  • Manage multiple submittals simultaneously, ensuring that all responses are completed on time and to the highest quality standards
  • Other duties as assigned or required in connection with proposals/statements of qualifications and business development
  • Work with WithersRavenel’s Business Development, Marketing, and Technical teams to write and edit text, develop layouts, and coordinate graphics and text for proposals/statements of qualifications, presentations, and other marketing materials from assignment through closeout, with an emphasis on quality control
  • Maintain and coordinate updated data in company systems, including images, personnel resumes, project descriptions, client contacts, and skill sets inventory
  • Write non-technical text and proofread the writing of others
  • Conduct research on potential clients and their needs to navigate the competitive landscape

Requirements


Required qualifications include the following:


  • Thrives in a collaborative environment and comfortable interacting with staff at all levels of the organization
  • Minimum of 3 years of marketing experience in the A/E/C or similar services industry
  • Experience in proposal coordination, development, and delivery
  • Intermediate document layout skills in Adobe InDesign
  • Committed to producing deliverables following documented quality control procedures
  • Detail-oriented, action-oriented, and deadline-oriented
  • Excellent writing and grammatical skills
  • Ability to prioritize and execute concurrent tasks with competing deadlines
  • Bachelor’s Degree in Marketing, Communications, or related field of study
  • General knowledge of printing (small and large format), binding, shipping, etc. of multiple page documents


Desirable (but not required) qualifications include the following:


  • Data management/data entry using a CRM program like Deltek Vision or Unanet/Cosential
  • Knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Process management using Smartsheet or comparable project management tools
  • Graphic design and/or illustration using Adobe Creative Suite
  • Basic understanding of engineering projects and services

Working Conditions


The assignment will require occasional evening and weekend work, infrequent job site visits outdoors, and working in collaborative, fast-paced, and client-driven environment.


Physical Requirements


The assignment may occasionally require repetitive physical tasks (such as operating a computer), standing and/or sitting for extended periods of time, extended time travelling in a vehicle, and carrying equipment and materials up to 25 pounds.
