The University of Southern Mississippi is currently accepting applications for the position of Lead Medical Office Assistant.
- Performs other duties as assigned.
- Maintains patients confidentiality while scanning all records including but not limited to: outside medical records, lab reports, x-ray reports, pharmacy documents, release forms, daily deposit reports, remittance advices and miscellaneous documents. Maintains and gathers patient images and scans into the appropriate patient chart. Manages all faxes, referral letters, attorney notices, etc. and photocopies all charts as needed. Transports patients as needed with Clinic transportation. Delivers deposits to Business Office, gathers and distributes mail in the absence of a student worker. Responsible for ordering and maintaining supplies, equipment and work environment neatly and economically.Attends and actively participates in Clinic meetings and in-service programs to convey front desk issues/complaints/solutions.
- Responds to all requests for release of medical information. Ensures each request is accurate and compliant with clinic, state and federal regulations. Obtains further information from requesting party as necessary to ensure compliance. Prepares medical records in a timely manner as per the request. Logs all releases. Submits qualifying records requests to USM Legal Department for approval. Submits requests to Assistant Director for Administrative Services for approval.
- Team leader for front desk staff and reports any issuesto the Assistant Director for Administrative Services. Motivates team members and oversees day-to-day operations. Keeps management updated on team performance.
- Accurate and efficient patient intake to include properly scheduling of patients as per clinic guidelines and while maintaining HIPAA/FERPA compliance to include ensuring patients complete all clinical forms as needed, verifying insurance coverage and benefits, obtaining and entering into the EHR pertinent data elements such as demographic, insurance, emergency contact. Answers 2 line phone system and responds/routes calls appropriately. Take and enter detailed messages to the EHR for providers and nurses. Checks out all patients through EMR system. Records and collects patient payments, including Self Pay and Insured patients, collects Co-Pays, charges student account to the University Bursar system when necessary for all faculty/staff and dependents. Provides receipts upon request to all patients. Maintains patient confidentiality throughout checkout process. Handles all collection of co-payments for Telehealth visits. Ensures daily balancing of payments posted, deposit information, credit card transactions and cash payments are complete and accurate at the end of the day. Corrects issues related to balancing.
- Detail-oriented
- Proficiency in integrated electronic medical health records and medical billing software.
- Excellent understanding of medical billing, medical insurance plans and coverage to include understanding of co-pays, deductibles, interpretation of explanations of benefits and remittance advices
- Resourceful and determined to provide a positive experience for others
- Experience with PyraMed EHR software is preferred
- Excellent organizational and time management skills
- Utilizes personal and network computers, imaging machine, photocopy machine, scanner, fax machine and calculator
- Ability to anticipate needs
- Ability to communicate and interact effectively with a diverse group of people
- Excellent written and oral communication skills and the ability to communicate with a diverse group of individuals
- Understanding of financial records balancing concepts
- Excellent understanding of HIPAA and FERPA
- Understanding of medical terminology
- Thorough understanding of all medical documents
- Extremely proficient in the following software: Microsoft Word, Microsoft Excel, MedicalPower Point
