Summary


ITS has a rewarding opportunity for a high-performing Program Coordinator to champion and grow our robust internship program. The coordinator will collaborate with a steering committee to oversee and manage our internship program, providing valuable opportunities for growth and development through impactful learning experiences. This role reports to the Assistant Vice President of ITS Administration and Operations within ITS and will receive some functional supervision from the Organizational Development Training Manager.


The coordinator will collaborate with the ITS Internship Planning committee to support the interns cohorts each summer. This position will support our DEI program including but not limited to educational program building, marketing, updates to the community and ongoing review of the program. Responsibilities*


  • Contribute to the ITS DEI strategic planning discussions, decisions and planning in support of guiding the implementation of our unit-wide DEI strategic plan including providing operational support to the DEI committee.
  • Support the continued growth of the Internship Program to ensure students receive an unparalleled experiential learning opportunity and build a talent pipeline for future hiring opportunities. Work to keep the program on schedule, within stated budgets, and functioning smoothly. Facilitate steering committee meetings.
  • Assist with internship application, interview, and hiring processes. Assist with intern onboarding, orientation, offboarding, and retention processes. Provide day-to-day support to the internship program, including communicating important information to interns and supervisors, responding to inquiries, and planning special events. Develop and execute initiatives to attract exceptional internship candidates through the use of social media, digital campaigns, and recruiting events.
  • Establish strong liaisons and work collaboratively with university departments, academic units, student organizations, community programs and internal/external constituents. Develop and maintain mutually-supportive and collaborative working relationships with ITS and the Internship Program campus partners to accomplish shared program objectives and tasks.
  • Track and analyze program data to drive continuous improvement and analyze trends. Identify talent and organization capability gaps and recommend adjustments to strategy where appropriate to meet organizational needs.


Required Qualifications*


  • Demonstrated knowledge and use of relevant technology (e.g. Google Mail, Calendar, Docs, and Drive) and office automation (e.g. Word, Excel, PowerPoint, Outlook, etc.)
  • Proven ability to work independently and assume a broad range of responsibility
  • Bachelor's degree in education, communication, business, counseling or equivalent combination of education, certification, and experience
  • Demonstrated ability to establish and maintain effective relationships with internal and external customers in a manner that consistently meets the organization's expectations for exemplary customer service
  • Demonstrated effective verbal communication skills including strong interpersonal skills with an ability to work effectively through all levels of management and staff
  • Minimum of two (2) years of program management including all administrative tasks, providing recommendations to steering committees or leaders, and event planning
  • Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines
  • Knowledge of communication principles, media, and marketing techniques


Desired Qualifications*


  • Familiarity with UM student administration software (such as PeopleSoft) and systems preferred
  • Previous work in Career Services, Talent Acquisition or Human Resources; and/or a high volume, fast paced, customer focused office with the ability to accomplish multiple tasks efficiently
  • Experience in online recruiting systems such as 12twenty or Handshake
  • Experience in an academic environment effectively working with faculty, staff, and students

PHYSICAL DEMANDS/WORK ENVIRONMENT


Normal amount of sitting, average mobility to move around an office environment; able to conduct normal amount of work at a computer; travel to various locations on and off campus. Punctual, regular, and consistent attendance is required. May require on-call availability and may require working during non-business hours and on weekends.


Remote work is currently available with the possibility to renew every year based on University and ITS leadership directive, business needs, and/or performance.
