Currently, we are seeking a detail-oriented and reliable In-Person Administrative Assistant to join our dynamic team. This position plays a crucial role in ensuring the efficient operation of our tutoring services and maintaining strong customer relationships.

As an In-Person Administrative Assistant at Study Buddy, your primary responsibility will be to provide exceptional administrative support and excellent customer service to our students, parents, and tutors. Your role is pivotal in upholding a well-organized and efficient tutoring center. This position is part-time and classified as an independent contractor (1099).


Key Responsibilities:


Front Desk Operations:


  • Warmly welcome students, parents, and tutors and maintain a professional and friendly demeanor.
  • Ensure the reception area is clean, organized, and inviting.
  • Answer incoming phone calls and respond to emails promptly, offering accurate information and assistance.
  • Manage the scheduling of tutoring sessions and keep the booking calendar up-to-date.


Student Records and Information:


  • Regularly update student profiles, track attendance, and generate progress reports as required.
  • Ensure all necessary forms and documents are completed, collected, and securely filed.
  • Collect and maintain precise student records and information.


Assist with Tutor Coordination:

  • Communicate effectively with tutors to ensure schedules align with student bookings.
  • Support in assigning students to suitable tutors based on their needs and tutor availability.
  • Maintain a record of tutor hours worked and facilitate timely payment processing.


Billing and Payments:

  • Address billing inquiries and work towards resolving any payment discrepancies.
  • Maintain accurate financial records for the tutoring center.
  • Prepare invoices and efficiently process payments from students and parents.


Customer Service:


  • Act as the primary point of contact for students and parents, professionally addressing inquiries and concerns with empathy.
  • Provide detailed information about our tutoring programs, services, and pricing.


Administrative Support:


  • Assist with various administrative tasks such as photocopying, filing, and data entry.
  • Ensure that office supplies and equipment are well-maintained.


Qualifications:

  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite and basic computer skills.
  • Excellent time management and problem-solving abilities.
  • Demonstrated ability to maintain confidentiality and professionalism.
  • A high school diploma or equivalent (Bachelor's degree preferred).
  • Exceptional organizational skills, attention to detail, and the ability to multitask effectively.
  • Previous experience in administrative or customer service roles.


Work Schedule: (Minimum 35 hours/week)

Monday-Thursday- 11:30am-7:30pm

Friday- 1:00pm-4:00pm

Saturday/Sunday- Additional hours available if desired


Compensation:

  • $25-30/hr depending on experience
  • This role is classified as an independent contractor (1099), and compensation will be provided on an hourly basis, commensurate with experience.
