Secretary Level 2 12 Month

REPORTS TO: Special Education Coordinator

DEPARTMENT: Support Staff


POSITION OVERVIEW

Special School District (SSD) employs nearly 6000 people. We are a partner to the 22 districts in St. Louis County, expanding our impact to thousands of school employees in our region. As a secretary, level 2, you will provide the exceptional customer service necessary to further collaboration while performing the critical clerical work that supports our department and our District.

DUTIES AND RESPONSIBILITIES

  • Prepares and processes forms and correspondence within framework of established policies and procedures, sometimes involving confidential material
  • Maintains supervisor’s schedule of appointments and make arrangements for meeting rooms
  • Establishes and maintains positive working relationships with other employees and the public
  • Types, prepares, edits, and proofreads in final form a variety of material such as statistical reports, exhibits, handbooks/manuals, transparencies, contracts, reports for federal, state or local governmental agencies for approval by supervisor, printing and distribution
  • Maintains and safeguards the confidential information of the organization
  • Supports and assists with training new staff in the department
  • Performs other duties and responsibilities as assigned
  • Processes department mail
  • Carries out duties accurately and independently with appropriate speed
  • Initiates contacts and transacts business with outside agencies and parties as directed
  • Maintains database for work unit and generate and distribute related reports as directed
  • Assists with monitoring inventory and ordering of office supplies and equipment
  • Assists with organizing workload in office, carry out priorities and meet deadlines
  • Receives inquiries (visitors, telephone, in writing) into work unit, ascertain purpose of visit, furnish information or direct to proper person
  • Tracks semimonthly attendance for department staff, log appropriate information on attendance form, submit to supervisor for signature and send signed form to payroll and human resources
  • Assists in compiling and adjusting budget, enter electronic requisition orders and other entries into computer and monitor/track budget information on computer
  • Takes and transcribes oral and machine dictation, which may involve a specialized vocabulary
  • Monitor and arrange for maintenance of department equipment, (e.g. computers, copiers, printers, etc.)
  • Assists with registration, travel, accommodations, and advances for staff, submit approved authorization and receipts of payment or reimbursement
  • Establishes and maintains department files including confidential files, recognize sensitive material and information and maintain its confidentiality

QUALIFICATIONS

Education

  • High school education or equivalent required
  • Additional specialized training/experience in a related area required

Experience

  • Familiarity with computer word processing systems, spreadsheet applications, database systems, computer, printers, and general office machines (fax, copiers, postage, etc.) required
  • Minimum of two years experience in general office work required

ESSENTIAL FUNCTIONS

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and policy and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively one-on-one and before groups.


Mathematical Skills

Ability to collect and graph skill programming and behavior data, add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percentages.


Reasoning Ability

Ability to problem-solve and apply common sense understanding to carry out instructions furnished in written and/or oral diagram form.


Physical Requirements

While performing the duties and responsibilities of this job, the employee is regularly required to communicate, stand, move and walk at a brisk pace, sit, and use hands and arms to handle, feel and reach. The employee is occasionally required to stoop or kneel and occasionally lift and move up to 50 pounds.
