Zepf Center has been serving the Lucas County community for nearly 50 years. We are the leading provider of behavioral health and substance use disorder services in Northwest Ohio. Services include adult and child psychiatric, substance abuse, case management, residential, Crisis Care, and therapy programs, as well as career development and wellness services. Zepf Center also offers primary care medical services to our patients to contribute to their continuum of care. Zepf Center is a trauma-informed agency and environment for both patients and staff.
Under the general direction of the Chief Administrative Officer, the Health Center Director of Operations provides leadership aligning with the mission, vision, and values of Zepf Center. The Director of Operations for the Health Center will lead the Health Center initiatives at Zepf Center through development, monitoring and implementation of operational and clinical initiatives. This position is accountable for implementing operational and clinical initiatives for Zepf Center while maintaining high levels of quality and patient satisfaction scores as set forth in our primary care strategic goals. Being responsible for personnel performance, patient experience, clinical quality metrics, departmental budget/finance, and continuous review of the operating environment of the practice.
Essential Duties and Responsibilities:
  • Facilitate continuous process improvement through collaboration with others to assure processes facilitate operational excellence, develop, and implement standardization in measuring and monitoring quality outcome data.
  • Manages inventory, purchasing and operating expenses that adheres to budget.
  • Collaborates with clinical providers to develop staffing plans related to projected patient care needs. Resolves complex staffing problems, managing daily allocation of resources according to patient volume and budget.
  • Other operational duties as required, including assisting scheduling with shift coverage for any site in need and after-hours on-call duties as assigned.
  • Ensures provider scheduling templates are built and maintained appropriately.
  • Ensures clinic compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies. Continually monitors operations, programs, physical properties.
  • Understands, follows, and maintains adherence to others Zepf Center's policies, including those related to the operation of the health center.
  • Oversee and monitor the operational and clinical initiatives by establishing methods to improve efficiency and quality of service.
  • Collaborates appropriately to identify and execute quality improvement activities.
  • Facilitates the implantation of best practices to impact clinical quality metrics to include but not limited to; increase capacity, decrease patient cycle time, decrease no show rates, alternative patient scheduling, follow-up referrals, patient care huddles.
  • Intermediary for the contract pharmacy and 340b TPA. Ensures regulations are followed and referral prescriptions are accurately captured.
  • Supervises, observes, and evaluates work of personnel; ensures staff accountability.
  • Reviews patient satisfaction surveys with clinical providers.
  • Serve as a resource for physicians and staff with regard to the EHR system.

  • Excellent skills in complex analytic problem solving, strategic planning, program development, project management, change management and group process.
  • Working knowledge of financial/budgeting principles and practices
  • Excellent attention to detail and organization; effective speaking and writing skills.
  • Ability to assess data and interpret information needed to identify each patient's requirements relative to age-specific needs.
  • Knowledge of human resources management practices including supervision and staff development.
  • Excellent communications, presentation, and interpersonal skills.
  • Process Management ability to effectively coordinate the efforts of professional and support staff.
  • Knowledge of applicable federal and state laws and regulations related to the healthcare industry, including FQHC and 340b Pharmacy.
  • Proficiency with Microsoft office (i.e., Excel, Word, PowerPoint).
  • Must be well-versed in inter-disciplinary practice environments, with knowledge and experience in patient registration, billing, and management of front-end staff in settings that provide medical, dental, and behavioral health services. Experience with FQHC processes and operations, including 340b Pharmacy, preferred.

Requirements:
  • Medical terminology, coding/billing experience (preferred)
  • A minimum of 3 years management experience in medical office practice, Community Health Center experience (preferred)
  • Nursing or related health profession background (preferred)
  • Bachelor's Degree in Health Services Administration, Nursing, Business Management, or related field required; Master's Degree Preferred
  • Must provide evidence of a Covid vaccine.
  • 340 Pharmacy Experience (preferred)
  • At least 3 years of experience in an ambulatory healthcare setting (preferred)
