The Grant Manager manages the application and distribution processes for the sub-granting of certain funding secured by YMCA of the USA’s Financial Development department, as well as certain funding from other Y-USA departments. The vast majority of funding is sub- granted to local YMCAs. The Grant Manager is also responsible for coordinating any sub- grant activity raised through a different department (e.g., International, Federal, Strategic Impact Fund) to maintain consistency in standards and process (where applicable) governing this multi-million-dollar effort. This position coordinates with other professional staff to ensure all aspects of grant administration are managed professionally, accurately and on a timely basis.

EFFECT ON END RESULTS/STRATEGIC IMPACT

This position is responsible for meeting the strategic plan objective to ensure contributed revenue earmarked for re-granting to the YMCA movement is successfully distributed through a team effort. The incumbent aids in developing a reputation within the YMCA movement that the grant process is fair, turnkey, professional and expertly managed.

Qualifications
  • Bachelor’s degree is required
  • Minimum 3-4 years of project management experience is required
  • 3-5 years’ experience with grant making and proposal writing/grant seeking is required
  • Supervisory experience is required
  • Financial Development experience is preferred
  • 3-5 years’ experience with an online grant making system, such as SmartSimple or similar system, is required
  • Superior organizational skills and diligent attention to detail is required
  • Strong customer service skills; excellent verbal, written and interpersonal communication skills are required
  • Advanced computer skills and proficiency with Microsoft Word, Excel, and Database Applications is required
  • Basic understanding and knowledge of Hypertext Markup Language (HTML) utilized in application design.
  • Must have experience managing large cross-divisional projects
  • Proven ability to manage, prioritize, track, and implement multiple/concurrent deadlines, assignments and projects effectively and efficiently; and deal well with a large volume of work while maintaining high quality and efficiency/timeliness is required
  • Willingness to learn and incorporate new technology skills is required. Must demonstrate leadership and decision-making skills
  • Strong problem-solving skills with a proactive attitude in finding solutions to technical and administrative questions from Y-USA staff and Y Movement.
  • Demonstrated ability to work well with staff at all levels and ability to work both independently and within a team environment (departmental and cross-departmental).

Essential Functions
  • Implements agency-wide comprehensive grant management system to ensure deadlines, outcomes, deliverables and reporting requirements are achieved. Works with department Stewardship Managers and Fundraisers to ensure donors’ intent, funding goals and messaging are met throughout the grant making process
  • Ensures customer satisfaction among the local YMCAs, which includes but is not limited to: performing quarterly analysis, reviewing requests and response time, and continual improvement to grant management system
  • Administers YMCA of the USA’s online grant making system, which includes but is not limited to: leading upgrades/technology changes and troubleshooting technical issues
  • Configure (under the supervision and oversight of Y-USA’s Senior Manager, Grantmaking Strategy & Operations) subgrant modules (applications, reviews, reports) as needed and as assigned
  • Perform quality assurance testing for all system builds; Recommend appropriate system and workflow improvements
  • Maintain internal procedural manuals, training materials, and documentation for YMCA of the USA’s online grantmaking system, to ensure it remains current and reflective of all system upgrades and refinements
  • Responsible for the accurate and timely processing of all re-grant payments, including alignment with the department’s policies and procedures
  • Serves as the external face for YMCA of the USA grants management with the movement and external entities. Communicates effectively with funders, local YMCAs, IT, Finance, Legal, Membership Support and Program Resource teams, as well as Financial Development department team members on procedural, technical, legal, and programmatic elements of grant process, including managing RFA development
  • Trains other YMCA of the USA staff as needed to be able to execute a grant cycle. Provide trainings for local YMCAs to maximize their success as applicants and reviewers
  • Manages internal and external communications regarding Y-USA’s grant making impact, and annually reporting on total grant-making trends at Y-USA
