Summary


The Global Sales coordinator provides administrative assistance to the VP and Director of International Sales & Marketing and coordinates internal administrative tasks and projects for the global sales team. This position will lead the international familiarization (FAM) tour, manage travel partner contracting via Salesforce, manage the sales shipping account and assist in marketing project coordination and timelines in conjunction with other departments. This role will research and collaborate with team to select and manage sales technology for use with the International FAM app and registration, the travel professional training portal, Salesforce, email templates, presentation platforms and any other needs as they arise.


The budgeted compensation for this position is $29.00 per hour. Actual pay will be dependent on budget and experience.


Essential Job Functions


  • Other duties as assigned
  • Responsible for assisting Account Directors with sales missions and support in both planning and execution
  • Weekly, daily and monthly reporting in alignment with department needs
  • Fulfill and track comp lift, lesson and rental requests for market directors
  • Manages and executes the international FAM, FAM budget, supports additional site visits/FAM trips
  • Support email programs including press releases and travel industry updates
  • Works with sales team to coordinate requests for any number of priorities during the year. Projects can include event planning, data management, contracting, marketing asset creation, travel planning and hosting.
  • Manage invoices and expense budget items
  • Weekly, daily and monthly reporting for Alliance dues, signatures, contract execution tracking, alliance email contact lists and other needs as they arise
  • Support planning and execution of events, promotions, domestic ski shows and sponsorship fulfillment – some client hosting and representation
  • Manages marketing collateral distribution, warehouse storage and ordering
  • Collaborates with all members of the team for events, sales missions, customer follow up and internal communication
  • Prepares and distributes annual travel partner contracts
  • Manages shipping
  • Respond to customer, client and community relations needs, and requests for information, while coordinating specific needs with other departments
  • Proofs and edits documents
  • Coordinates gifting and swag orders and requests with marketing approvals
  • Client management system support and maintenance
  • Administration of Aspen Snowmass Global Alliance, coordinate quarterly meetings and support production timelines of travel trade marketing materials


Qualifications


  • Proficiency in Adobe CS5 preferred
  • Second language and Adobe CS5 skills are a plus but not required
  • Spanish language skills preferred
  • Minimum of two years sales, events planning and/or marketing experience required
  • College degree preferred
  • Proficiency with Microsoft Office: Word, PowerPoint, Excel required
  • Proofing and copywriting experience preferred
  • Basic accounting and budget management skills
  • Professional presentation required
  • Flexibility to work and travel on weekends and evenings, when needed

Supervision given: This position has no supervisory responsibilities.


Supervision received: Works under general supervision of Director of International Sales and Marketing. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.

Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements


No adverse or hazardous conditions


Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
