Job Description

COMPANY DESCRIPTION

Essential Functions

  • Check all voicemail messages in the morning, and after any staff meeting.
  • Understands how to calculate patient liability and appropriately document and inform patient.
  • Keeps log of charts that have been discharged, and sends all charts via courier to Medical Records dept for scanning with all appropriate documentation.
  • Ability to use Passport system to track payments for fee for service programs such as BLADE, Beyond Therapy, and Aquatics.
  • Locates medical records and makes copies as requested by internal and external sources.
  • Calls new patient to remind of appointments.
  • Maintains change fund each day and verifies amount daily.
  • Understands use of HPF to view medical charts as necessary.
  • Responsible for daily/monthly volume report for referrals, cancellations, no shows, and total visits. Reports information to supervisor on monthly basis.
  • Reports daily unit totals to office manager.
  • Maintains Total Fitness Program documentation.
  • Turns in deposits in a timely manner to the cashier each day.
  • Able to communicate professionally to Proxsys and MD office staff when a customer is improperly placed in Proxsys or if the order requires more information.
  • Asks for signature verification on each deposit completed.
  • Appropriately communicates with therapy staff to schedule follow up therapy visits for patients.
  • Completes MSP questionnaire in HBO at time of registration.
  • Places outgoing messages on main line and personal extension when office is closed due to weather, holidays, etc.
  • Takes appropriate and timely messages and routes to the appropriate staff.
  • As time permits informs MD’s office of new patient cancellations/no shows following up with a request for updated MD order if necessary
  • Maintains charge tickets for 3 month period for reference if audit should occur.
  • Fields customer phone calls regarding cancellations and rescheduling and takes appropriate messages to share with therapy staff.
  • Completes monthly Medicare report and turn into Business office and office manager by the 4th of each month.
  • Prepares monthly consents with current account number and scans to VI WEB system in a timely manner.
  • Follows Tenet’s standards by following HIPPA guidelines.
  • Notifies MD when a worker’s comp patient cancels or no shows for a scheduled appointment.
  • Assist callers to best of ability to locate phone number or department requested.
  • Ensures each cancellation or reschedules are noted on daily schedule and appropriately documented.
  • Competent in placing scheduling notes, alerts, and clearing out names in Proxsys.
  • Provides insurance verification staff with insurance information to verify benefits prior to the evaluation.
  • Pulls all workers’ compensation notes and send to business office by the 4th of the month for the previous month or within 3 business days of the chart being discharged.
  • Able to capture all appropriate patient information and schedule patients according to scheduling guidelines provided by therapy staff.
  • Files information in all charts as needed. Secures all charts at the end of the day to ensure patient privacy.
  • Flips OPA accounts to ORC when patient registers for evaluation.
  • Assist with other duties as required by Business Office Manager.
  • Able to effectively and professionally communicate scheduling issue to supervisor and therapy staff in a timely manner.
  • Pull discharged charts weekly and discharges from the HBO/STAR system.
  • Able to key charges into HBO system with a 98% or better accuracy rate.
  • Validates that a signed medical release is on file by the patient when copies of the medical records are requested.
  • Treats customers with respect, courtesy, and privacy when scheduling appointments.
  • Reconciles charges in PBAR immediately after entry to HBO to verify accuracy.
  • Understands appropriate avenues to take with regards to Proxsys, computer and phone issues.
  • Answer phone appropriately within 2 rings identifying the location, employee name and “How may I help you?”
  • Completes all Medicare compliance checkers on new and rollover accounts.
  • Notifies case manager or insurance carrier when a worker’s comp patient cancels or no shows for any scheduled appointments.
  • Creates all medical records when the evaluation is scheduled.
  • Reports all fee for service collections to office manager.
  • Able to utilize the Proxsys system to retrieve referrals and schedule in a timely manner.
  • Able to make corrections as necessary based on reconciliation process.
  • Pick up charts from the OP gym area to file.
  • Pulls charts for next business day and reviews for appropriate documentation.
