Job Description
The Jackson Laboratory is seeking a Facilities Space Planner to join our team in Bar Harbor, Maine!


The Facilities Space Planner assists in planning and coordinating the efficient use of space and physical facilities, maintains current floor plans and data on campus facilities, receives and analyzes requests for space, develops plans to maximize facility use, makes space allocation recommendations to administration, and develops analytical studies in support of space or physical facility changes across all JAX campuses.


Responsibilities


  • Works with a broad range of campus constituents to identify program needs and evaluates competing space priorities. Develops and presents multiple scenarios to end users at all levels of organization and supports alternatives with data. Negotiates space reassignments with constituents.
  • Defines metrics and key performance indicators to measure the effectiveness of both space utilization and relocation service delivery.
  • Proactively analyzes space utilization effectiveness and changing demands for space needs and develops space utilization alternatives, recommendations, and solutions to unique project planning, engineering, and administrative problems. Develops and communicates strategic annual space planning forecasts during capital and master planning cycles. Continuously monitors and improves workplace environments through innovative strategies.
  • Establishes and oversees enterprise-wide comprehensive space management program including development, recommendation, adoption, and communication of internal space standards, policies, and procedures in a manner that allows space to be appropriately accounted, assigned, and managed. Develops and manages online space request and justification submittal, review, and approval process.
  • Manages, maintains, and updates information systems on complex computerized asset management system and database(s) to facilitate and expedite the usability, accuracy, integrity, and availability of data for JAX- wide campus planning, master planning, reimbursement, and space utilization. Provides both tabular and graphical reports in support of strategic space utilization, management, and planning. Responds to requests for reports and documentation concerning functional use of facilities and space to assist in short and long-range planning.
  • May have direct or matrix management responsibility over Engineering Technician
  • Manages or oversees management of archival and record campus facility data and construction documents including campus space standards, drawings, site plans, GIS, campus maps, leases, deeds, and related information.
  • Plans and executes physical relocations of office, common, and laboratory functions (staff and equipment) coordinating with all necessary ancillary support groups (IT, Engineering, Security, EHSS, HR, Functional Services, etc.)


Qualifications


  • Strong analytical, organizational, and time management skills to allow ability work on multiple projects simultaneously in a fast-paced environment.
  • Bachelor’s degree in Architecture, Interior Design, Planning, Business Administration, or related technical field plus 5 years related experience or equivalent related experience in space planning and administration.
  • Knowledge, skill, and ability to manage sophisticated computer-based facilities and space management systems including use of Autocad, CAFM and database tools. Demonstrated experience with enterprise CAFM database applications. Ability to become proficient in JAX specific applications within 180 days required.
  • Experience in facilities operations, facilities planning, and/or project management.
  • Strong computer skills and a demonstrated knowledge of MS Office applications including MS Project.
  • Customer service oriented with excellent interpersonal and communication skills including the ability to work collaboratively and effectively both horizontally and vertically within a diverse community.
