We are looking for an Executive Assistant to handle a wide range of duties that include supporting, coordinating and organizing Executive and Board level administrative functions. This position could be either full-time or part-time, with part-time working approximately 30 hours a week

CORE COMPETENCIES & ESSENTIAL DUTIES
Responsibilities include providing high level administrative and technical support to include preparing complex and sensitive correspondence and reports independently, assisting with budget development and preparation, and handling confidential information. Responsibilities also include coordination for and interaction with the Administrative Board and its committees. May also serve as a lead to lower-level administrative support staff. Consistent and reliable attendance is required.

Planning/Organizing/Scheduling – The successful candidate demonstrates the ability to work within a schedule using prescribed procedures.
  • Schedules and coordinates meetings and conferences; screens phone calls and E-mails; researches and confirms travel arrangements; processes related expense reimbursement requests; prepares agendas, minutes, resolutions and presentations.
  • Coordinates and manages the scheduling, agendas, and logistical support for Administrative Board meeting and Administrative Board Committee meetings.

Communication – Seeking a candidate that expresses ideas and information in a clear and concise manner whether verbally, written, or other means; tailors message to fit the interests and needs of the audience; delivers information in a manner that is interesting and compelling.
  • Organizes and coordinates administrative functions within Administration Division and supports the Chief Executive Officer and General Counsel in planning, organizing, and directing administrative functions of the executive leadership; maintains division schedule of activities.
  • Maintains customer confidence and protects operations by keeping information confidential.

Initiative – The ideal candidate takes action on their own without being prompted; handles problems independently; able to resolve issues without relying on extensive help from others; does more than is expected or asked.
  • Utilizes various advanced computer software applications, such as SharePoint, SAP, Office suite, customized solutions, etc.

Adaptability - This individual maintains a positive attitude in the face of change; appropriately adjusts behavior and activities to changing conditions.

Teamwork - A person in this role has the ability to effectively interact, cooperate, collaborate, and manage conflicts with other people. Shows enthusiasm toward being a member of the group; actively participates in team meetings and activities; leverages the skills and interests of coworkers to achieve goals and solve problems; supports team decisions.

OTHER SKILLS AND ABILITIES
  • Knowledge of a computer and standard software applications.
  • Knowledge of filing and recordkeeping skills.

EDUCATION and/or EXPERIENCE
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Associate’s Degree in related field, and
  • Four years of progressively responsible administrative support experience; or,
