Purpose of the Role

The Events Coordinator will be an integral part of the Public Engagement team. You will work very closely and collaboratively with the Senior Events Associate to ensure all Public Engagement events are designed and executed at the highest caliber, on budget, and in a way that is aligned with the Foundation's mission and values. You will support the Senior Events Associate in increasing the overall efficiency and effectiveness of Public Engagement events by creating resources, designing systems and processes, identifying vendors, and creating templates or playbooks. The Events Coordinator will specialize in participant management and experience including but not limited to attendee list creation, registration, post event data collection, meeting accessibility needs and coordinating event supplies.

Core Job Responsibilities

  • Provide surge support to Public Engagement team as needed
  • Ensure all event data is accurately tracked within Salesforce in a timely manner
  • Assist with day of event logistics including set-up, break-down and supply transport
  • Track the Public Engagement team's inventory of Event supplies including signage, merchandise and equipment
  • Assist with the creation of Event memos, decks, typeforms and project plans
  • Develop and refine process for creating and approving event attendee list, invitation, registration, and overall attendee experience

Key Deliverables / Outcomes

  • Enhanced utilization of merchandise, including identifying items that resonate with our audiences and managing inventory levels
  • Playbook of guiding principles and best practices for creating exemplary guest experience that is aligned with the Foundation's values, particularly inclusivity
  • Participation in event debriefs to inform the planning of future events

Required Qualifications

  • Poise under pressure and ability to adapt to evolving priorities
  • Experience supporting events of varying complexity and size
  • Strong experience in project management, process development, and cross departmental coordination
  • Strong written and verbal communications
  • Strong attention to detail
  • Ability to successfully manage multiple work streams and different groups of stakeholders

The salary range for this role is between $48,750 and $81,250.
