Position Announcement

Utah Valley is seeking an Event Assistant I! The Event Assistant oversees the setup and teardown of conferences, meetings and events scheduled through campus Event Services. Follows set drawings in staging tables, chairs, stages, and other peripherals. Sets up existing audio/video equipment including initiating the room control system and setting audio and lighting levels. Assists presenter with microphone, computers, and other basic technology needs prior to and during the event. Confirms conference rooms and offices are secured. Oversees the training of other full and part-time set staff.

Summary of Responsibilities

  • (15%) Contributes to the success of events by attending department and client coordination meetings. Provides effective management of setup resources and procedures.
  • (35%) Follows set drawings provided by event facilitator to meet event setup requirements.
  • (15%) Maintains good public relations by providing good service in a safe and comfortable environment for students, visitors and employees. Acts as the highest level of event support for setup needs and escalate technical issues to A/V technicians.
  • (35%) Oversees and trains full and part-time setup staff in the setup and teardown of campus events and activities.

Minimum Qualifications

Graduation with high school diploma and one year related experience or any combination of job related experience and education totaling one year. May require additional certifications.

Knowledge, Skill, and Abilities

  • Skills in set-up and storage of technical equipment.
  • Knowledge of supervisory methods and techniques pertaining to part-time hires.
  • Ability to communicate orally and in writing.
  • Working knowledge of sound and lighting equipment helpful.
  • Ability to follow written and oral instructions.
  • Knowledge in proper cleaning methods and techniques.
  • Skills for effective interpersonal communication
