Architecture Design


Position Overview


This position is a 1.0 FTE appointment serving the School Architecture and Design at the University of Kansas. Manages student services for graduate or undergraduate programs of the School, which may include curriculum coordination and management, course scheduling, catalog management, accreditation support, and probation and dismissals. In Collaboration with campus departments and/or other internal or external entities, coordinates program activities and establishes/maintains relationships for program resources. Collects, analyzes, and reports data for program assessment and revision. Oversees program compliance. Helps with new program development and modeling. Manages student evaluations through the C&I survey. Manages post-graduation survey.


This position is a member of the Dean’s leadership team. The position works with the Associate Deans of the School, the Chairs of the Departments, and the Directors of Academic Programs, and collaborates with various campus stakeholders to develop and implement initiatives supporting student success as outlined in Jayhawk Rising. The position serves as the school liaison to the Centers for Orientation and Academic Advising Programs, and the Registrar’s Office, and the Office of Analytics, Institutional Research, & Effectiveness (AIRE).


This position reports to the Dean.



Responsibilities Related to Undergraduates and Graduate Student Services (70%)
  • In coordination with the Associate Dean for Administration, addresses any gaps in facilities needs and develop/maintain systems for reserving spaces in the school
  • Conducts all school-based special circumstances processes and procedures such a grade appeals, fee petitions, and grievances
  • Works with departmental staff to ensure that school-level DPR's for each catalog year are accurate and updated; works with SIS directly to implement curriculum updates as needed to ensure advisors are working from accurate school DPR records; manages email account where A&D DPR error messages are received
  • In coordination with Associate Dean/s, Chair/s, Program Directors, and Graduate Student Advisor, establishes and/or updates guidelines and policies regarding undergraduate and graduate student services
  • Submits all major curriculum changes through CIM system
  • Manages the course catalogs for the School:
  • Coordinates with Chairs and Program Directors to plan and implement timetables for each semester, and develops and maintains long-term timetable plans
  • Scheduling services
  • Participates in departmental meetings on student petitions, change of school forms and other school-based approval forms/workflows and approve/deny as appropriate (self or via school faculty committees); ensures communication of all decisions to both student and advisor via workflows; coordinates with departmental administrative assistants all petition workflows for school and ensure advisor is aware of those expectations
  • Provides updates to the supervisor to be shared with all advisors for the unit and organize team meeting with big updates, when appropriate
  • Oversees degree certification and conducts final graduation approval processing for all degrees (BFA, M.Arch, MA in Design, and MA/PhD in Architecture) in KUGS using list provided by advisors; in coordination with the Registrar’s Office, conduct "one last glance" to assure school- and department-based requirements are met
  • Provides instructions to advisors on department policies or procedures; key processes and approvals; curriculum and School nuances
  • Honor Roll, Distinction/Highest Distinction, and other academic awards
  • Provides permission numbers to all ArcD undergraduate and graduate students with assistance from departmental administrative assistants
  • Conducts academic probation checks, tracking, and both student and OUR notifications as appropriate as required by School policies
  • Shares with the Communication Director of the School important school updates, events and functions for weekly publications of the School
  • Guide students actively through steps as they complete special circumstances processes and procedures to fulfil all KU policies and compliance measures.
  • Performs timetable planning and course scheduling for the School:
  • Coordinates with the admissions coordinator to ensure alignment of admissions numbers and course scheduling
  • Communications related to academic support services:
  • Uses university systems when needing to view student records or advising conversation history as needed during school processes or school interventions with students
  • In close collaboration with the chairs, associate deans, and program directors, produces accreditation program reports for NASAD, CIDA, NAAB, HLC, and Annual Program Assessment reports.
  • Runs PERC for the School and determine what kind of pre-requisite checking system is best for the unit, and makes recommendations to the chairs and associate deans
  • Serves as the owner of UG and/or GR regulations tab of school catalog for School and content in the student handbook; responsible for KU and School compliance of catalog content and policies
  • Coordinates with the school's IT team to address any gaps in technology needs

Responsibilities Related to Student Academic Experience & Success (20%)
  • Works with Associate Deans, Department Chairs, and program directors to ensure the curriculum aligns with the Higher Learning Commission (HLC) accreditation requirements.
  • Coordinates any program or school-specific student surveys; works with AIRE to execute those surveys, including
  • Stays informed of advisor communication plans for programs and supplement with school-based content or initiatives as appropriate for holistic student experience that is seamless in messaging
  • Identifies any institutional gaps or opportunities for improvement in student academic success and experience
  • Works with Associate Deans, Department Chairs, and career services coordinator to provide services improving student academic success and experience
  • Supports new program development with administrative guidance, research, and modeling
  • UAEC yearly advising report for VP of Student Success
  • Envisions, conceptualizes, designs, and develops programmatic content, programs and/or activities to foster engagement of students, faculty, staff and/or community members in the research, instruction and/or service of the unit
  • DEIB reports for AD of DEIB
  • First Destination Survey (UCC)


Other Responsibilities (10%)


  • Attend, volunteer and assist at School co-curricular programs and activities
  • Serves on committees, as needed
  • Performs other duties in support of the mission of the School


Required Qualifications


  • Bachelor’s degree plus four years related experience or a Master’s degree.


Preferred Qualifications


  • Demonstrated organizational skills and demonstrated experience handling multiple projects and juggling priorities
  • Previous experience in student advising, student record keeping, academic support or other related areas
  • Demonstrated effective written communication skills as evidenced by application materials
  • Knowledge of developing surveys and analyzing data for reporting purposes
  • Excellent computer skills and demonstrated interest and capacity in the use of the internet, databases, on-line research and new technologies.
