With over 650 student-athletes participating in UW's 22 sports programs, the department of Intercollegiate Athletics is committed to providing student-athletes with the ability to compete for national and conference championships while working toward a degree from one of the world's leading public research universities.
The Director of Administrative Operations (DAO) is responsible for managing the daily administrative functions of the University’s NCAA Division 1 Men’s Basketball program. The DAO will use professionalism and excellent communication skills to establish and nurture relationships with University officials, athletics coaches and staff, student-athletes and outside constituents. The DAO reports directly to the Head Basketball Coach and will collaborate with Intercollegiate Athletics senior administrators.
Responsibilities –
Manage the oversight of the men’s basketball budget, annually building off of a zero-based budget. Present proposal to the head coach and senior management. Develop budget forecasts and annual reports, monitor and approve expenditures, annually balancing the budget.
Supervise the men’s basketball Video Coordinator, graduate managers and student managers. Oversee time and leave scheduling, responsibilities, performance evaluation and corrective action. Collaborate with the Creative Team for basketball multimedia design.
In coordination with the athletics Travel Manager, manage travel arrangements. Responsible for the development and implementation of internal policies, procedures, and processes for basketball travel arrangements such as team travel, recruit visits, coaches’ travel, and related travel parties. This will entail research and negotiation of team hotels, charter aircraft and buses, group meals, and other travel-related services needed by the basketball program. Attention to detail and budget is paramount. Must balance the needs of the team and coaches to travel efficiently and expediently with the associated costs and budget constraints. Serve as travel coordinator for away trips.
Serve as the primary liaison for recruits and their families. Manage the scheduling of official and unofficial recruiting visits to the University of Washington campus. Plan and coordinate all aspects to ensure an exemplary experience and attract top level talent. This includes determining travel and hotel accommodations, setting schedules, tours, and appointments, and communication of itineraries and agendas.
Manage assignment and distribution of basketball program ticket allotment for both home and away games.
Coordinate all equipment operations functions for the program. Oversee scheduling of facilities throughout the season for home and away practices and competition in compliance with NCAA practice and play policies. Serve as home practice and game liaison. Collaborate with event and equipment staff on requirements and expectations for practices and competition. Coordinate logistics for visiting teams and officials.
Serve as coordinator for in-house men’s basketball tournaments, coaches’ and youth clinics, and other programs. Research opportunities for community service projects. Determine and prioritize community and regional involvement in appearances, speeches, lectures and committees.
Collaborate with ICA marketing staff to implement the marketing plan for the program, including the thematic and creative graphic design of recruiting materials, social media content, and digital content. Collaborate as applicable with Development staff on donor events and activities. Manage the structure and strategy associated with the mentor program. Responsible for working strategically with student-athletes and basketball program staff on their social media usage, ensuring that brand and departmental standards are met.
Represent men’s basketball at meetings with internal and external constituencies. Determine and execute pertinent administrative responsibilities, collaborate with coaching staff and other parties.
Perform other related duties as assigned.
Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
Minimum Requirements: Bachelor’s degree in Sports Management, Business, Communications, or related fields. A minimum of 5 years of relevant experience at a NCAA Division I institution, or a combination of collegiate or professional basketball playing, coaching and/or operations experience. Experience managing budgets and working within NCAA rules. Proficient computer experience with common office and recruiting software programs, and comfortable with technological advances.
Demonstrated experience managing multiple deadlines and responsibilities in a professional manner. Must be team-oriented, self-motivated and a hard worker with excellent communication skills and a positive attitude. Experience working with confidential and sensitive information is critical.
Must be willing and able to work evenings and weekends. Flexibility in scheduling vacation is a necessity as there are certain times of the year that are especially labor-intensive.
