About the Position: The Director of Facilities is a leader who can innovate, motivate, develop systems and create a vision for how Capital Citys facilities can support its program.
The Director of Facilities is responsible for overseeing the upkeep and improvement of our 170,000 square foot building and surrounding grounds. This position establishes safety protocols and ensures they are met, evaluates and provides input on technology integration, establishes routine preventative maintenance schedules and manages facilities and janitorial requests within the schoolwide online platform. The Director of Facilities is a lead in planning for, contracting and managing capital improvement projects that enhance our space and support Capital Citys mission, vision and strategic plan.The Director of Facilities reports to the Chief Operating Officer (COO) and coordinates closely with the Director of School Operations. The Director of Facilities supervises the Head of Security and Security team, the Maintenance team, the Custodial team and oversees contracted facilities-related building services.The position is considered essential personnel for emergency situations, including inclement weather and must be available to work mornings, evenings and weekends and respond to on-call issues as needed.This is a 12-month position which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards Act.The Director of Facilities has responsibilities in the following key areas: Facility ManagementManage in-house and contracted facilities, custodial and security staffOn-call for any incidents or emergenciesEnsure building inspections are conducted on schedule and licenses are maintained including: elevator, HVAC, security, trash removal, certificate of occupancy, elevator license, fire inspection, sprinklers, alarm system, health inspection, etc.
Maintain facility and system operational manuals and a regular building maintenance planManage custodial supplies and contract in accordance with LEEDEstablish a 5-year plan for building remodel, repair and maintenanceOversee general building and grounds appearance and repairs (interior and exterior)Help promote community stewardship of building and groundsManage end-of-year classroom check-out and maintenance process. Work with contractors, maintenance and custodial team, School Leadership Team, and Director of School Operations to coordinate and manage summer repair and cleaning projects.Work with the Director of School Operations, the Food Service team and the school community to reduce school food waste by establishing and promoting recycling and composting practices.Create and maintain an inventory of facilities supplies and attic stockWork closely with the School Garden Coordinator to maintain trees, garden grounds and general landscaping on school grounds. Capital ImprovementsWork with the COO to develop and execute capital improvement projectsManage building improvement projects and/or construction projects as directed by the COOCustodial ResponsibilitiesOversee the custodial contracted services for daily cleaning and maintenance as well as regular deep cleaning of the building and larger maintenance projects during school breaks and over the summerSupervise the on-staff custodial team members in their daily cleaning and maintenance of the building and assigning tasks.Manage building supplies budget and ordering.Vendor Management & RelationshipsManage procurement process for contracted building services annually and in compliance with DC Public Charter School Board (DC PCSB) requirementsInitiate work orders, estimate budgets for labor and materials, and determine scheduled dates for repairs or preventative maintenance; coordinate service requests as needed.Oversee and manage relationships with contracted general contractor, HVAC maintenance and building janitorial servicesDirect vendors as necessary to manage repair and maintenance of building mechanical systems.Maintain daily contact with vendors and contractors to schedule miscellaneous repairs and maintenance.Review and approve invoices for completed workSafety and Risk ManagementOversee Capital City security team, ensuring schedule and coverage meet the needs of the schoolMaintain a relationship with School Resource Officers, the local Police Departments and other key partnershipsWork with Head of School and COO to develop and communicate compliant emergency plans for the LEA Maintain up-to-date information in the Emergency & Safety Alliance Portal (CoreDC) includingEmergency Response PlansAnnual (minimum) trainings for emergency response teamsAnnual beginning-of-year trainings for all staff and mid-year trainings for new hires on emergency response protocolsCreate and maintain up-to-date building plans with emergency routesWork with IT to manage the building security system including a visitor management system, internal and external cameras and door access and alarmsEnsure safe processes for arrival and dismissal, working with DDOT crossing guards, Safe Passage workers and Capital CIty Security and Facilities teams.Coordinate communication of arrival and dismissal policies to community members including neighbors, families and staffAct as Incident Commander and lead required fire, lockdown and shelter in place drills Schedule fire and other safety drills in compliance with requirementsEnsure drills are recorded and reported to the DC PCSB and in the Emergency & Safety Alliance PortalMaintain evacuation documentation and formsEnsure building security and recommend and communicate procedures for security and safetyOther Duties as Assigned
