Description of Work

SALARY GRADE: Grade 15

RECRUITING FOR 2 POSITIONS
***THESE POSITIONS ARE TIME-LIMITED, FULL-TIME.***

The NC Administrative Office of the Courts (NCAOC) assists in coordinating work in the Expunction Unit of the Research, Policy, and Planning Division. The NC Judicial Branch has begun activities to implement Tyler Technologies’ Odyssey integrated case management system (ICMS) statewide. Odyssey is a vendor-based solution that has been customized to meet the needs of North Carolina’s courts. This move to “eCourts” requires the Expunction Unit to complete most tasks in the new Odyssey ICMS.

The Division seeks two time-limited (2 years) Data Control Specialists to assist full-time, permanent unit employees with the transition to this new system. Position responsibilities might include:
  • Scan orders into the ICMS for counties not yet using eCourts.
  • Work with a large volume of confidential data submitted both electronically and on paper between court officials, NCAOC, and other state agencies.
  • Answer the expunctions phone line.
  • Perform data entry of expunction petitions into the ICMS.
  • Enter conditional discharge requests and orders into the ICMS.
  • Represent and advise on expunctions in business process meetings to inform the configuration of the Odyssey system.
  • Participate in virtual office hours and other training opportunities with courthouse clerks.
  • Perform citizen and law enforcement verifications of prior expunctions.
  • Perform data entry of expunction orders for counties not yet using the ICMS.
These positions report to the Records Officer. Work hours are 8:00 AM - 5:00 PM, Monday - Friday. Although time-limited, this position accrues leave and includes benefits. Following an initial in-person training period, this position would be eligible for hybrid remote work, pursuant to NCAOC policy.

Knowledge, Skills and Abilities / Competencies

Knowledge of: general statutes pertaining to expunctions; the criminal indexing system (ACIS); data entry functions such as keying and verifying data from source documents and steps and procedures required to process data.

Skills: data entry in databases; read and understand court forms; and proficiency editing PDF documents in Adobe.

Ability to: understand information collected; apply system and legal guidelines to reported data; access the criminal database to retrieve omitted information and key documents rapidly and accurately; correct data errors and omissions; communicate diplomatically with court officials and others; be detailed while working with the expunction process (sensitivity and accuracy is imperative), ensuring correct grammar, vocabulary, spelling, and punctuation; work under quick deadlines when dealing with inquiries from the court on prior conditional discharges; and maintain confidentiality through all processes.

Minimum Education and Experience Requirements

High school diploma and two (2) years of office experience, including one (1) year as a data entry operator; or an equivalent combination of education and experience.

Management prefers one (1) year working with criminal cases and two (2) years of office experience, including one (1) year as a data entry operator; or an equivalent combination of education and experience. Prior experience working in a court environment is also preferred.
