Performs advanced level clerical and secretarial duties in the Missoula County Sheriff's Department to prepare, process, maintain and preserve records and reports for the criminal justice, civil process, and warrants offices.
Representative Examples of Work
Answers inquiries from the public and employees. Disseminates arrest records and investigative reports, according to state laws. Transcribes taped statements that become part of the official criminal or court records. Ensures that reports are accurate and able to be used for court evidence. Updates and maintains computerized records management system including: scans documents; prepares incident report files; reviews incident reports for accuracy; returns reports requiring editing to the originating officer; and finalizing incident report in system. Performs research of records to provide information to the County Attorney's office within legal guidelines and department policies. Fingerprints the public as requested and maintains related records. Performs reception of callers and visitors; answers inquiries from the public and employees; prepares and disseminates daily mail and other information. Prepares schedules; prepares replies to written correspondence; maintains department records and files. Performs computer data entry and word-processing. Obtains information as required to complete detailed forms and applications. Makes moderately complex calculations and tabulates data. Updates statistical information to generate reports. Checks civil papers and court documents that are to be served for completeness and processes documents in accordance with established procedures and law. Answers routine inquiries regarding civil process and procedures. Schedules and processes legal advertising for sheriff's sales as required. Makes determination on bonding requirements prior to accepting papers for service by the civil process officer. Provides administrative support for the abandoned vehicle program. Processes required paperwork; prepares forms for the sale of vehicles; and maintains all required records. Performs support duties for warrants division. Processes warrants of arrest. Processes orders of protection. Completes monthly validations of entered records. Provides criminal records and driving history to authorized personnel. Performs related work as required or directed. Other duties: May collect money, issue receipts, and prepare deposits for money received for various fees. May perform data entry for concealed weapon permits.
Minimum Qualifications
Requires high school diploma or GED. Requires two years of clerical work experience in an office, retail setting, or other settings such as food service environment. Requires experience engaging directly with the public both in person and by telephone. Requires experience using a computer or a POS (point of sale) system. SPECIAL REQUIREMENTS : Successful candidate must pass an extensive background investigation.
Physical/Environmental Demands
The employee commonly remains in an office setting. The work requires long periods of sitting at a computer terminal. May require work outside the office environment to process forms at abandoned vehicle sale or sheriff's sale. Requires occasional light lifting (20 lbs).
