This position will oversee specific tasks related to the wellness event planning process and assist with streamlining the overall administrative side of day-to-day events. What will your week be like? Serve as the main point of contact for our largest screening client as it pertains to participant questions via phone, email, and chat. This includes managing the Wellworks Portal and the email inbox for the client Ensure responses to participants are communicated efficiently and effectively Manage the Event Team calendar Compile eligibility files for clients and work with partners, assist with data uploads Work cohesively with other Event Team employees to streamline partner workflows and relationships Assist Account Managers with small event requests for clients Work closely with the Event Team and Account Managers to complete post event client forms Develop and maintain an Administrative Guide and train the internal Wellworks Admin Team on the client's specific wellness program Provide the Wellworks' Admin Team with continual updates and/or changes to the program throughout the year Compile and distribute call summary notes from client meetings Collaborate with Event Manager to keep files up to date with program updates from year-to-year and streamline processes Assist in conducting data audits monthly to ensure accuracy Serve as the main point of contact for any one-off events clients from our Sales Department, such as but not limited to, onsite health fairs, chair massages, one time screening or flu events, onsite lunch and learns, etc What should you bring to the table? 2+ years of related event planning experience Bachelor degree preferred but not required Corporate Wellness Screening event experience preferred Strong customer service background and a positive attitude. Excellent written and oral communication skills Demonstrated ability to stay organized and on top of administrative tasks with attention to detail and meet deadlines Ability to problem solve with positive results Ability to work both independently and cooperatively as part of a team with enthusiasm, initiative and creativity Flexible, open to new ideas, and willing to take on new responsibilities Proficiency in Microsoft Office, especially Word, Excel, PowerPoint, Outlook and Teams Comfortable with cloud-based portals and systems What is the work environment? This job routinely uses standard office equipment such as computers, phones, etc. This position is a fully remote position, reporting into our home office in Malvern, Pa. Local candidates can have the option of hybrid work in office and remote if desired. Because you will be handling confidential client information, you must work from your designated home office. You cannot work in a public location. Computer and VPN access are provided. Employee must provide their own internet access. This position's hours will be Monday through Friday 9 am to 5 pm ET.
