Job Description

Job Summary:

This position is a key resource for assisting the Construction team with administrative tasks in connection with the project documentation, data entry, and follow-up. This position will handle various clerical tasks involving form input, customer submittal collection, and document file maintenance.

Duties and Responsibilities:

  • Coordination and collection of all Subcontractor Information
    • Gather subcontractor prices for estimates
    • Make sure subcontractors are set up in FJX – if not request set up from Sub Administrator
    • Set up subfolders within project folders
  • Gather Per Diem funding from Superintendents on a weekly basis.
  • Assist Construction Management Team with tracking all bid opportunities including:
    • Download of all bid set drawings, and convert to PDF
    • Update bid tracker with new bid invitations and due dates
    • Create project folders in SharePoint for new bid invites, save all bid documents to folder
    • Upload New Bids and Revisions to Customer Portal
    • Notify PM and Coordinator of any missing closeouts
    • Submit bids in the customer portal
    • Assist with bid entry into FJX
  • Make sure subcontractors are set up in FJX – if not request set up from Sub Administrator
  • Upload Any and all Close out documents to customer portal
  • Close Out Documents
    • Work with project managers, superintendents and coordinators to ensure all close-outs documents are submitted.
    • Upload Any and all Close out documents to customer portal
    • Maintain overall project planner and estimate tracking with account manager
  • Gather subcontractor prices for estimates
  • Notify PM and Coordinator of any missing closeouts
  • Download of all bid set drawings, and convert to PDF
  • Submit bids in the customer portal
  • Assist with bid entry into FJX
  • Upon award, request COI
  • Create project folders in SharePoint for new bid invites, save all bid documents to folder
  • Gather subcontractor quotes for Change Requests
  • Make sure COI is uploaded to the customer portal within 24 hours of award.
  • Manage and Maintain job site compliance paperwork.
  • Download and maintain addendums and CCD's
  • Set up subfolders within project folders
  • Update bid tracker with new bid invitations and due dates
  • Work with project managers, superintendents and coordinators to ensure all close-outs documents are submitted.
  • Work with Project Managers to submit RFI's
  • Move the project folder from Bids to the Customer Folders within SharePoint.
  • Work with Project Managers to send out weekly updates of projects to the project team.
  • Submit Change Requests in Customer Portal
  • Upload New Bids and Revisions to Customer Portal
  • Work with Project Managers and Permit Admin to make sure all projects are permitted
  • Maintain overall project planner and estimate tracking with account manager
  • Customer Awards

Desired Skills, Certifications, and Education:

  • Computer knowledge must include: MS Office- Word, Excel and Outlook
  • High School Diploma/ GED
  • Excellent oral and written communication skills
  • Self-sufficient and able to work with little direct supervision
  • Strong organizational skills
  • Ability to prioritize and manage multiple priorities and
  • 3-5 years of related construction coordination experience
  • Ability to communicate effectively and work productively with
  • High School Diploma/ GED
  • Experience managing and prioritizing multiple projects
  • Be an honest team player, growth-oriented, ability to do whatever it takes; safely!
  • Strong attention to detail, mathematics and the ability to produce accurate
  • Must be reliable, with a positive professional
  • Computer knowledge must include: MS Office- Word, Excel and Outlook

Physical Requirements and Working Conditions:

Regularly required to sit, stand, and walk; occasionally lift and/or move up to 25 pounds; noise level is usually moderate. All employees may be required to visit a customer site and/or complete a ride along with a field technician as part of their employment.
