Job Description
The Clinical Scheduler position is a direct report to the Clinical Operations Manager and is responsible for coordinating staff and client schedules by performing diverse related duties.


This is a hybrid position. Candidates must reside within driving distance to Brookfield, WI. Training will be on-site and then the employee will be required to work in the office 2-3 days per week.


Scheduling Responsibilities


  • Bachelor’s Degree or equivalent preferred
  • Expected to be available to work overtime, if required.
  • Prior scheduling experience required (preferably in a healthcare setting or at an autism services provider)
  • General Office Support
  • Meetings
  • Clinical Services Associate will be expected to attend regular meetings with the Clinical Services Scheduling Manager and participate in meetings with other departments as needed.
  • Schedule make-up time to maximize contract fulfillment Participate in staff efficiency and contract fulfillment initiatives
  • Exceptional attention to detail
  • Inform families and/or Behavior Interventionists of schedule changes and update systems accordingly
  • Coordinate and maintain daily, weekly, and monthly staff and client schedules for the delivery of autism services to our clients
  • Proactive/proven ability to anticipate needs and respond appropriately and in a timely manner
  • Reconcile billing operational and payroll reports
  • Receive and respond to staff and client phone and email inquiries relating to scheduling
  • Excellent multi-tasking and prioritizing abilities
  • Find alternate coverage or alternate work for Behavior Interventionist and arrange for PTO coverage
  • Excellent customer service skills, self-motivated, self-starter, well organized and detail oriented approach to tasks
  • Proven customer service skills and experience handling heavy call volume
  • Strong written and verbal communication skills
  • Strong problem-solving and critical thinking skills
  • A minimum of three years customer service experience
  • Answer scheduling questions from clients and staff and escalate to appropriate management staff as necessary
