Job Description

POSITION: Clerk, HR Data Entry (Part Time)


EXEMPT STATUS: Non-Exempt


NUMBER OF DAYS: 226


PAY GRADE: Clerical PG-4


DIVISION:


DEPARTMENT: Human Capital Management


REPORTS TO: Director of Human Resources Information Management System


SUPERVISES: None


EDUCATION: High School Diploma or GED


EXPERIENCE: One to two years of clerical and file maintenance experience


Position Function/Purpose

To assist analysts and other members of the Human Resource Department with data entry, filing, organizing, and preparing documents and files or labels.


Major Responsibilities

  • Assist employees with Skyward Employee Access and online platforms.
  • Handle backup duties when the departmental secretary is unavailable
  • Submit work orders for department staff.
  • Maintain campus and departments staff in the HR system upon employee transfers and terminations
  • Dispense HR forms and answer any questions concerning them.
  • Review weekly PEIMS reports for all areas with staff, contracted-out staff, and cleanup data discrepancies.
  • Coordinate meeting/training locations and times.
  • Maintain multiple departmental emails.
  • Receive calls and answer questions concerning HR or direct questions to the appropriate individual.
  • Assist campuses and departments with report requests as needed.
  • Maintain office supply inventory.
  • Assist HRIS analysts, Position Control, Compensation, PEIMS Coordinator and other department staff with data entry in all HR areas
  • Manage the HR website.
  • Maintain confidential documents.


Records and Correspondence

15. Prepare correspondence, forms, records, and reports using a personal computer.

16. Compile pertinent data as needed when preparing various federal, state and local reports.

17. Maintain confidentiality.

18. Assist with the district’s Award programs, job fairs, hiring events, and orientation.

19. Perform all other duties as assigned.


Qualification Requirements

1. High School Diploma or GED

2. Effective communication and interpersonal skills

3. Proficient in the use of software to maintain spreadsheets/databases and word processing

4. Demonstrates an initiative and self-reliance

5. Demonstrates a positive, professional attitude

6. Demonstrates superior organizational skills

7. Ability to perform basic arithmetic calculations

8. Self-motivated.

9. Professional attitude at all times
