Summary/objective

Responsible for handling a wide variety of clerical and medical office duties. Work will consist of both day to day front office and clinical assistant responsibilities. Position will require an energetic, customer service oriented approach, and the ability to function in high patient volume practice.

  • Greet patients and visitors in a caring manner, provide directions, answers questions, and meet a variety of customer service needs. Demonstrate excellent customer service skills and consistently represent Forte in a positive and highly professional manner.
  • Type various documents and electronic information, including data entry into the practice management software program(s). Manage, organize and update relevant data as needed.
  • Perform receptionist duties to include registering patients in, check in/check out, accurately collect co-pays, obtain patient referral information, send/receive fax Handle high volume of phone calls, effectively assisting callers. Log pertinent information regarding calls received and made, maintaining detailed and accurate records.
  • Demonstrate the ability to prioritize tasks/responsibilities and complete duties within allotted timeframe. Actively seeks to incorporate “best practice” activities and principles into daily workflow.
  • Assists patients from waiting room to clinical area and input patient health information into EHR (electronic health record); complete dictation in EHR, and assist with test scheduling and referral process.
  • Proficient in preparing batches and reconciling patient payments.
  • Handle high volume of phone calls, effectively assisting callers. Log pertinent information regarding calls received and made, maintaining detailed and accurate records.
  • Maintain excellent working relationship with all physicians, providers, management, staff of internal and external departments, demonstrating a high degree of respect and professionalism.

Competencies (Knowledge/Skills/Abilities)

  • Strong interpersonal skills. This includes being polished, courteous, professional, knowledgeable and patient.
  • Knowledge of practice management software as well as ability to distinguish a variety of applicable medical insurances and ID cards for verification of coverage.
  • Very detail oriented.
  • Good organizational and time/project management skills (ability to manage multiple tasks, adapt to changing priorities, and meet deadlines).
  • Proficient oral and written communications skills (ability to read and write, follow written and verbal instructions, and communicate effectively in English).
  • Good judgment, discretion and integrity.
  • Good analytical, critical thinking, accounting and problem-solving skills.
  • Excellent typing and computer skills including Microsoft Office: Word, Outlook, EHR and Electronic Practice Management (EPM) system.

Work environment

  • Works primarily in well-lighted, well-ventilated building with moderate levels of noise.
  • Involves minimal risk to physical and/or mental health and safety
  • Subject to frequent interruptions and, on occasion, hostile or emotionally upset individuals.
  • Travel will be required in local area during work day (including use of personal vehicle).
  • Expected to report to work on time and work the full established schedule. May work, when necessary, beyond normal working hours, on weekends, and in other positions.

Physical demands

  • Detect by touch and smell.
  • Observe and identify surroundings. Judge distances and spatial relationships to see objects where and as they actually are. Ability to distinguish colors.
  • Typically bends, stoops, crouches and reaches overhead, behind and across body on a regular basis.
  • Maintain a stationary position at certain times during the workday. Move about inside and outside buildings.
  • Distinguish sounds. Comprehend and exchange detailed information, including conveying it to others accurately, audibly, and/or quickly.
  • Lift up to 20 lbs. (unassisted).

  • Operate computer, telephones and other office equipment, including grasping, fine manipulation, and repetitive motion.

Required education and experience

  • High School Diploma or equivalent required with Associates degree in healthcare related field.

Preferred education and experience

  • Athletic Training Certification (ATC) preferred.
