Job Duties


  • The Child Care Contracts Coordinator will serve as a contract manager in the Division of Early Care and Education. Primary responsibilities will include serving as lead staff to coordinate with contractors on the development of scopes of work, service activities, deliverables, and budget information of assigned Child Care and Development Funds (CCDF) contracts. As appropriate assignments may include serving as contract manager for other grant funding. The employee will use a variety of means to manage, provide oversight, and monitor contractor compliance and delivery of quality services. The employee will engage in strategic planning activities and assist with identification and development of plans to implement contracts.
  • Program Development, Administration and Oversight -
  • Coordinate with CCDF contractors on the development of scopes of work, service activities, deliverables, and budget information for assigned contracts. - Tracks, assists, and escalates as necessary the planning, coordination, administration, and execution of assigned contracts and contract amendments. - Monitors performance of contract activities through a variety of means to ensure contract compliance and delivery of quality services. - Ability to identify program areas of strengths and limitations and resolve issues that impact contract activities and deliverables. - Coordinates with and provides input to internal staff to facilitate program clarification, timely execution of assigned contracts, or expenditure resolution. - Plans or assist with coordinating the annual contract and budget meeting with the contractor and other division staff for contract renewal. - Maintains electronic storage and availability of contracts, change orders, reports, and other supporting documents regarding assigned contracts. - Serves as back-up and/or support to cover tasks and responsibilities of other contract managers as requested or assigned. - Participates in relevant opportunities for professional development and training.
  • Coordinates and reviews contract budgets with the division's financial manager to ensure accuracy, appropriate exclusions, and compliance with use of CCDF funds. - Review and approve contract budgets and all requests for reimbursement for assigned contracts. - Maintains cumulative Excel spreadsheets for each contractor's expenditures based on budget in executed contract.
  • Fiscal Management and Oversight -
  • Performs Red Cross shelter duty or other emergency shelter duty or services as directed.
  • Ensure that Personal Identifying Information is properly used, accessed, gathered, shared and disposed. Protects the agency networks and applications by safeguarding systems, equipment and data.
