Shift: Days - Monday-Friday
Wage range: $15.45-$19.52
per hour
Entry Requirements
High school graduate or GED required.
One year (32 credits) of college classes and / or training or equivalent experience in a hospital or related field required.
One-year hospital or health related clerical experience in a position requiring filing, record keeping and / or chart preparation is required.
Must be able to demonstrate proficiency in medical records filing and chart organization with the ability to file numerically and alphabetically.
Successful completion of medical terminology course or demonstration of equivalent experience required.
Ability to converse well on the phone and in person.
Be able to pass a typing test of at least 40 WPM minimum with under 6 errors.
Intermediate key boarding and computer skills required. Must demonstrate competency in Outlook, Power Chart, Tempus , SunQuest, and MUSE.
Proven ability to communicate effectively with both public and co-workers orally and in writing and posses the ability to work positively with all levels of staff in completion of job responsibilities.
ORGANIZATION: Under the supervision of the Managers, Coordinators ad Director of Sical Services. May receive input/instructions from RN pre-admission planners.
Human Relation / Problem Solving
Maintains mutually satisfactory working relationships with clinical staff, ancillary departments, volunteers, physicians, and physician office staff.
Exercises high degree of control over confidential information contained in patient medical records.
Interprets priority of work activity based on patient requirements and departmental needs. WORKING CONDITIONS:
Works in well-lighted surroundings. Spends most of the day interacting with intra and interdepartmental staff and Dr’s offices, gathering and deciphering information for chart preparation. Sits most of the time with some stooping, bending, reaching.
Responsible for independent decisions regarding appropriateness and completeness of information in regard to chart completeness.
Works under conditions of constant interruptions, and is subject to time pressure.
Specific Duties

Has basic understanding of Relationship-Based Care (RBC) principles, meets expectations outlined in Commitment To My Co-workers, and supports RBC unit action plans.
Uses effective customer service/interpersonal skills at all times.
Required to work cooperatively with other team members within surgical services to achieve optimal customer service and achievement of departmental goals.
Gathers and organizes information in regards to medical histories and physical, lab, radiology, EKG reports and other pertinent patient information from hospital departments and physician offices for patient surgical and procedure charts. Assures that all information is present in a timely manner.
Maintains an ongoing chart racking/filing system within department to assure appropriate, timely readiness of the charts.
Receives all patient information from physician’s offices and ancillary departments. Organizes information for action and easy retrieval.
Reviews orders and contacts ancillary departments as appropriate. Sends all pharmacy orders to pharmacy.
Gathers information for RN chart review on a daily basis.
Works with RNs to facilitate review of chart information as it becomes available and notifies physician’s offices of abnormal testing results.
Demonstrates excellent customer relations behavior in all interactions.
Exercises a high degree of control over confidential medical information.
Interprets and initiates problem solving, prioritizes work activity, determines effective means of dealing with patient chart issues.
Represents the Surgical Services department in inter and intra department process improvement efforts. May be called upon to participate in process improvement and team meetings.
Performs other duties as assigned.
