Job Description

The Buyer is responsible for processing, dispatching, and ensuring completion and close-out of purchase orders for goods and services in accordance with the terms and conditions of the governing contract and all applicable university policies. The Buyer is the primary interface between University customers and suppliers for procurement transaction support. The Buyer is responsible for soliciting quotes, drafting and negotiating contracts for goods and services and supports the Category Manager in supplier negotiations, requests for proposals, supplier performance and contract deployment.

As a member of the Procurement Team, the Buyer assists in establishing and maintaining strong, collaborative relationships with Vanderbilt’s faculty, staff and students and identifies additional ways to be of service and ensure customer satisfaction. This position contributes to the high-performing Procurement organization by helping to champion and drive the full procure-to-pay process.

The Procurement team serves as the single point of contact for all centralized supplier information management, procurement, and travel activities at the University, setting the overall strategy for Vanderbilt University’s purchases. As part of the Division of Finance, Procurement supports and integrated approach to purchasing goods and services by collaborating with Payment Services to connect the procurement function to payments issued to suppliers. Procurement includes resources that facilitate sourcing, contracting, ordering and purchase order processing, and the University’s managed travel program.

Duties and Responsibilities

  • Coordinates and collaborates with suppliers to request price quotes and proposals for goods and services.
  • Facilitates relationships with departments and suppliers to ensure quality customer service
  • Reviews purchase requisitions and issues purchase orders in accordance with departmental needs and university policy.
  • Coordinates with university customers to define and communicate specifications and sourcing options.
  • Manages day-to-day processes for resolving invoice, receiving and warranty disputes with suppliers and departments.
  • Uses professional judgement to draft and negotiate purchasing terms and conditions considering Vanderbilt policies and customer requirements.
  • Ensures purchase orders are fully executed and completed in accordance with contract terms and university policies.
  • Seeks opportunities for continuing process improvement in terms of processes and capabilities within this role and of the Finance group overall.
  • Collaborates with Category Managers in the development and execution of commodity strategies, requests for proposals, and supplier contracts.
  • Assists in special projects and additional duties as assigned.

Qualifications

  • Experience with Oracle Cloud Procurement and Contract Management is preferred.
  • Experience managing orders funded by federal, state or private grants is preferred.
  • Ability to challenge systems, processes and people to facilitate optimal outcomes; connect people, ideas, processes and issues is preferred.
  • Certified Purchasing Manager (CPM) or other purchasing professional certification is preferred .
  • Experience in building and maintaining effective working relationships with a range of people understanding their needs and goals is preferred.
  • Ability to foster imagination, creativity and experimentation, to take and promote considered risks, celebrate creative successes and learn from failure is preferred.
  • Strong interpersonal skills and the ability to develop and maintain relationships with key stakeholders is necessary.
  • Openness to change, adaptability, and the ability to work effectively in a variety of situations, with individuals or groups is preferred.
  • Bachelor’s degree required, with emphasis in Business Administration is preferred.
  • Substantial relevant experience in a complex organization, with a strong procurement background is preferred.
  • Experience working with electronic purchasing systems and eProcurement platforms is preferred.
  • 2+ years of procurement experience is preferred.
  • Proven skill inattention to detail and a highly organized work style in collaboration with effective written and verbal communication skills is necessary.
