The Role


  • Responsible for all invoicing activities including but not limited to collecting work dailies from numerous sites and reviewing against funding requests, calculating billable items, generating and processing 70 to 100 invoices weekly - full cycle, along with supporting documentation on a weekly basis or as requested
  • Hire, train, and develop talent for all roles
  • Other duties as assigned
  • Ensure project and accounting data and information is organized, accurate, complete and current to support timely invoice generation and accurate financial reporting
  • Create and maintain job files and complete various filing duties.
  • Process and distribute invoicing, prepare and analyze account receivable reports, reconcile monthly activity and communicate funding approvals
  • Responsible for job closure, final invoicing and closure tracking
  • Maintain the accuracy and integrity of project information and data contained in the project database, regularly updating the databases making modifications to ensure the information captured at the project level is accurate, complete and meets contract requirements
  • Identify unfunded work and communicate to appropriate project manager
  • Generate and track submittals, requests and tracks subcontractor compliance documents
  • Enter and submit invoices by electronic data interchange into customer invoicing web sites
  • Reconcile billing inconsistencies or issues as necessary in order to ensure timely payment of outstanding balances; enter any require change orders into system and process credit memos.
  • Support project managers in project start-up, job and work order set-up, managing appropriate project financial performance, and with tracking job progress to ensure timely billings and closeouts


Requirements


  • 3+ years of accounting, invoicing, billing or related experience required
  • Prolonged periods of sitting at a desk and working on a computer.
  • Proficient with Microsoft Office Suite, ability to learn new software efficiently
  • Ability to be flexible and adjust to changes
  • Passing of all pre-employment requirements (MVR, Background Check, Drug Screen)
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • A general understanding of accounting, financial reporting, job costing, and timecards a plus
  • Previous telecommunications and construction experience a plus
  • Ability to champion a positive environment with a can-do attitude
  • Ability to effectively present information and respond to questions from groups of managers, contractors and customers
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical skills, ability to identify and resolve issues quickly
