Lollypop Farm, the Humane Society of Greater Rochester, has been helping animals and people since 1873. Together with our community, we better the lives of animals through justice, prevention, and life-saving care. Our organization cares for thousands of animals each year-saving animals from abuse and suffering, sending homeless pets to new homes, connecting pet owners with resources to keep their pets, and sharing information on how to help animals every day.

The Adoptions Administrative Assistant is responsible for monitoring the front adoption desk, greeting visitors, and supporting Adoption Counselors by assisting in tasks necessary for adoptions to be processed quickly and efficiently.

Essential Job Duties

• Checks guests into the lobby queue system and tracks the order of guests in line
• Perform other duties as requested
• Cleans the adoption area as well as the meet and greet rooms, restocking rooms with fresh toys and treats
• Schedules appointments
• Directs guests to other departments as needed
• Greets guests and provides exceptional customer service
• Performs administrative tasks in the Shelterluv database
• Distributes and collects adoption sign in forms
• Carry out responsibilities in accordance with the company's policies and applicable state/federal laws
• Observe all safety rules and regulations for self and others
• Prints and restocks adoption forms
• Assists with Doggy Day Out (DDO) functions, including sign in, assisting families in selecting a dog, distributing and organizing DDO paperwork, distributing report cards and alerting staff when the dog returns
• Aids in the adoption matchmaking process by interpreting and summarizing animal paperwork as well as ShelterLuv information to interested families
• Performs clerical work and data entry
• Answers inquiries from the adoption line, logging voicemails into the voicemail tracking spreadsheet, and returning voicemails when possible
• Responds to phone and email inquiries
