(Job #526020) Student Services Professional II, Admissions Call Unit Coordinator, Salary Range: $4,610 - $6,556 monthly. Hiring Range: $4,610 - $4,841 monthly. Appointments are typically made at the beginning of the salary range. Salary is commensurate with qualifications and experience. This is a full-time, benefited, exempt, 12-month pay plan, permanent position with a one-year period in the Admissions Department. Position Summary:

This position manages a customer-facing call center team that responds to incoming telephone calls, emails, and mail for Humboldt’s admissions office. Duties include processing all electronic and hard copy applicant high school and college transcript submissions.


Key Responsibilities:

  • Admissions team duties include administrative support for the recruitment outreach team travel support, and maintaining the team travel calendar. Such duties require developing and maintaining expertise in SAP Concur and Humboldt business processes and policies.
  • Recurring reporting of operational data on weekly, quarterly, and annual basis to Enrollment Management leadership.
  • Admission processing using Oracle PeopleSoft, Slate, and document management tools to capture updates and changes in inquiry and applicant demographics, majors, enrollment intentions, test scores, and documents. The ACU manages the receipt and reconciliation of all incoming high school and college transcripts.
  • Business process development and management in the handling of a high volume of incoming inquiries and documentation. The ACU is a dynamic work group that experiences seasonal bursts. Development of balanced and documented work flows within the context of the admissions cycle and resource realities.
  • Provide comprehensive customer service to people inquiring about admission to Humboldt. The ACU is the primary point of contact for answering all email and telephone inquiries regarding admission and general information regarding Humboldt and is responsible for timely and informed responses. Channels for which the ACU has primary responsibility include, apply@, earlystart@, hsuinfo@, incoming telephone calls, and all associated voicemail boxes.
  • System super-user and trouble shooter for Oracle PeopleSoft, Slate, and related document management tools is association with the associate director of operations and the director of admissions.
  • Other Duties as Assigned
  • Supervise, support, and develop a team of ACU student assistants. Assess business needs and hire team of student assistants sufficient to manage a dynamic communications and business process workflow. Hire student assistants by posting jobs on the Humboldt Career Center web site, chair hiring committees, and manage the hiring process, including all communications, to completion. Train student assistants in collaboration with Enrollment Management staff. Supervise student assistants in the ACU, front desk, and in tour guide roles. Maintain training processes, manuals, and materials for each position. Perform annual evaluations for each student assistant based on job expectations.

Knowledge, Skills, and Abilities Associated with this Position Include:

  • Understanding of CSU general admissions requirements
  • Fundamental writing and presentation skills to effectively communicate standard information
  • Competence with Microsoft Office and Google productivity tools
  • Familiarity with concepts of business processes, how to conceptualize and articulate for others to follow
  • Respond to routine inquiries and explain standard policies and procedures to others
  • Perform basic mathematical functions
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff
  • Familiarity with concepts of customer service
  • Working knowledge of English grammar, spelling, and punctuation
  • Ability to use standard office equipment, word processing, and related computer software packages
  • Basic knowledge of applicable university infrastructure, policies, and procedures
  • Demonstrated sensitivity to cross-cultural perspectives and experiences.

Minimum Qualifications:

Experience:

Possession of the knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job-related field may be substituted for one year of the professional experience.

Education:

Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.


Preferred Qualifications:

  • Experience supervising student employees
  • Experience with electronic document management systems
  • Working knowledge of Oracle PeopleSoft student information system and Slate CRM
