Job Description
Kadena is hiring an Administrative Operations Associate to provide day-to-day administrative and project support to their operations team, covering functions such as accounting, legal, and HR. This position reports to the Operations Manager. However, they work closely and collaboratively, especially with the business development and community teams. Duties will include document organization/filing, meeting coordination, and special projects as assigned. The ideal candidate is meticulous, trustworthy, and at ease in a startup environment. They are flexible and don't have a traditional corporate structure but they take their work seriously and require someone who is committed to doing what it takes to get the job done. They encourage people to show up as their whole selves, which includes pursuing passions outside of the office. They also want to be honest about how this can at times be more demanding than your standard 9-5 job.
Key Responsibilities
  • Serve as back-up for employee support in TriNet (HR system)
  • Facilitate company holiday, time of, and schedule variation calendars
  • Maintain legal department databases and files, including DocuSign workflows
  • Provide help with accounting and bookkeeping as needed (e.g. purchase orders)
  • Review administrative procedures and operating practices, conduct research and make recommendations to increase efficiency
  • Coordinate travel arrangements as requested
  • Assist in event staffing, making reservations, and scheduling meetings
  • Support operations team in special projects, such as corresponding with conference organizers and planning events
  • Assist with the coordination and prioritization of day-to-day admin work
  • Act as in-house resource to team for company processes (e.g. expense reports)
  • Track internal and external records such as MSAs, invoices, and NDAs
  • Review inbound submissions to Asana projects
  • Prepare internal and external documents for team members and industry partners
BASIC QUALIFICATIONS
  • Preferably a minimum of 2 years of relevant experience as an administrative assistant, ideally in a startup environment
  • Organizational, communication, and analytical skills
  • Ability to proofread sensitive correspondence, documents, and reports
  • Commitment to precision and accuracy
  • Demonstrated strong skills with using GSuite and Microsoft Office
  • Bachelor's Degree or equivalent accreditation or equivalent work experience
