Regulatory Specialist, Fragrance & Beauty

Section 1: About the Job

CHANEL is looking for a Regulatory Specialist to join our Regulatory Team in Piscataway, NJ. You will play a leading role in ensuring compliance now and in the future, from securing regulations, to interpreting the impact all through trade and outside counsel engagement. The need is for a strong level regulatory affairs person to understand the role, the regulations and impact to cosmetics and OTC drugs This role interfaces with multiple departments within the company and is a key partner for Legal, Marketing, Global Regulatory and Customer Care. Our ideal candidate will have 1-3 years of experience and a passion for delivering safe, innovative luxury fragrance and beauty products to consumers.

Section 2: What impact you can create at CHANEL:

Functional Responsibilities:


  • Aid in preparing and submitting drug product listing registration and establishment documents for all OTC products manufactured by CHANEL
  • Update presentations of all new and changing Federal and State regulations/legislation
  • Aid in creating regulatory data for all ingredients and raw materials based on Federal and State Regulations and internal guidelines/restrictions
  • Provide searches and regulatory review of cosmetic and drug product and report out information
  • Maintain and routinely review all physical files maintained by the Regulatory Department per the Records Retention Policy.
  • With guidance, prepare, submit and maintain records pertaining to U.S. state and federal air quality regulations
  • Interact with Customer Relations on consumer product inquiries and ingredient list requests
  • Trained and acting in-person coverage for quality assurance (QA) personnel, as well as helping manage QA union inspectors when needed
  • Assist in compliance with newly enacted Modernization of Cosmetics Regulation, including product and facility registration with the Food and Drug Administration and other aspects of the law
  • Maintain all regulatory kept spreadsheets
  • With guidance, prepare, submit and maintain records of registration documents pertaining to California’s SB 484 and SB 312
  • Review products for categorization under CA Hazardous Waste classification
  • Prepare and update regulatory procedures like SOPs and Work Instructions
  • Assist in updating and maintaining internal Legislative Tracking tool to disseminate to affected internal stakeholders
  • Participation in industry trade association committees and meetings, both in-person and via Teams
  • Attend all in-person meetings, webinars, seminars, trainings and conferences
  • Provide review, comments and approval of all product labels/labeling for Federal and State regulatory compliance. Offer alterative solutions as needed. Provide U.S. Procurement team with necessary information for U.S. specific artwork, as well as review, comment and approval of this artwork
  • Assist the larger team with preparing and presenting regulatory updates and trainings to various internal teams, both in-person and via Teams.
  • Prepare, submit and maintain records of formulations for FDA’s Voluntary Cosmetic Reporting Program
  • Disseminate regulatory information received from Global to affected internal stakeholders
  • Request and maintain SDS’s for finished products. Facilitate the availability of SDS to cross functional partners

Entry level knowledge of U.S. cosmetic and OTC drug regulations

• U.S. Food & Drug Administration (FDA)

• U.S. Federal Food Drug and Cosmetic Act

• U.S. Federal Fair Packaging and Labeling Act

• U.S. State Regulations, including California, pertaining to the compliance and safety of practices of cosmetic and OTC products

• Consumer Product Safety Commission

Keen judgment to proactively capture issues for product non-conformity

Willing to learn how to translate issues to regulatory solutions

Ability to interpret and disseminate regulations

Excellent interpersonal, communication and organizational skills

Position Logistics:


  • Occasional availability for calls with international teams at earlier or later times during the day
  • Some travel to NY and other locations domestically and internationally
  • Special Requirements of the Position: French speaking a plus
  • In-person presence in Piscataway, NJ office at least 3 days per week
  • Minimum Years of Experience: 1-3 years of Cosmetic or related industry experience
  • Minimum Education: B.S. Chemistry or related science
