The Receptionist is responsible for handling incoming phone calls and other communications, greeting employees and visitors, and performing other general office administrative assistant duties with the purpose of ensuring the smooth running of the reception area at our Aliso Viejo, CA headquarters. Schedule: Monday - Friday from 8:30 am - 3:30 pm.


The ideal candidate needs to be professional, welcoming, organized, and possess excellent oral and written communication skills, have proficient computer skills, and experience with Microsoft office programs, including Outlook, Word, and Excel. A pleasant and engaging personality with strong customer service skills and the ability to be discreet and maintain confidentiality are a must.


What you will do:


  • Help organize and ensure tidiness of lobby area, kitchen, conference rooms, and common areas daily
  • Process business card orders via web-based vendor; assist other departments with maintaining and entering information into databases
  • Assist customers of Smith Micro’s Graphic Software products to open web-based customer support tickets or request assistance by email
  • Coordinate internal events, as necessary
  • Greet employees and visitors, notifying appropriate party of their visitor’s arrival
  • Maintain office and kitchen supply inventory
  • Complete other tasks and take on new projects, as requested or assigned
  • Answer and route incoming calls on a multi-line phone system and take messages as needed; ability to assess and properly route voice mails
  • Make vendor service calls for office and equipment when necessary
  • Receive and distribute incoming mail and faxes according to procedure
  • Process FedEx shipping labels and maintain FedEx supplies
  • Performing general office clerk duties and errands
  • Ensures visitors are appropriately signed in, badged, and escorted as per SMSI policy and procedures
What you will need:


  • Experience as an office assistant
  • Able to pay attention to detail, follow procedures, be flexible, and work effectively with others
  • Previous receptionist/phone experience is a plus
  • Must be proficient in the English language, communicating professionally
  • Able to lift and carry up to 15 pounds
  • Must be customer-service oriented and present a professional image
  • Effective writing skills; excellent proofreading, spelling, grammar, and punctuation
  • Able to work with minimal supervision exercising good judgment and decision making
  • High School Diploma, GED, or associate degree
  • Strong computer skills; proficient in Microsoft Word and Excel
  • Team player and a positive attitude is necessary
