In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, the Patient Services Specialist will be responsible for greeting patients, verifying patient demographic information, checking patients in/out of NextGen computer system, verifying insurance, and screening applicants for presumptive eligibility, Medicaid for Pregnant Women, and the Family Planning Benefit Program.
Essential Functions
  • Faxes and/or scans medical records requests and paperwork, as directed
  • Verifies checks, credit cards, and debit cards, as outlined in procedures; provide patient with a payment receipt
  • Addresses patient concerns in a prompt, courteous, confidential, and caring manner
  • Verifies insurance eligibility and coverage prior to services being rendered
  • Assesses patients for their placement on a Discount Fee Schedule
  • Follows appropriate cash handling procedures
  • Operates telephones efficiently by promptly answering, screening calls and referring callers appropriately, and recording and delivering messages as necessary
  • Assesses eligibility and screen patients for grants and other payment sources, such as but not limited to: Medicaid Presumptive Eligibility for Pregnant Women and the Family Planning Benefit Program
  • Maintains a clean and organized work area, ensuring patient confidentiality according to HIPAA compliance regulations
  • Reviews charges for completeness and accuracy; enter client visit record (CVR) data into EPM
  • Greets patients, visitors, and colleagues in a friendly, courteous, and professional manner
  • Verifies and/or creates patient demographic and insurance information in the Electronic Practice Management (EPM) system to assure timely and accurate billing
  • Assists patients with completion of insurance forms as necessary; assist in obtaining necessary program eligibility documentation, if necessary
  • Provides emergency contraceptives and birth control to patients/people who walk in for supply sales in accordance with company policy and procedure
  • Interfaces with Phreesia to check in and register patients
  • Collects payment and inform client of any outstanding financial responsibility
  • Verifies and/or generates required consents in EPM such as, but not limited to, Request for Medical Services and the Payment Arrangement – Insurance form
  • Requests income information from patients by completing the appropriate documentation
  • Shows respect to all internal and external customers for differences in backgrounds, lifestyles, viewpoints and needs in areas such as race, gender, ethnicity, creed, sexual orientation and others
  • Schedules, confirms, and reschedules patient appointments as needed in a timely, efficient manner
  • Requests photo identification and insurance information from patients in accordance with our policy
Requirements
Applicants must possess the following qualifications(or equivalent combination of education and experience):
Education—
  • High School Diploma or GED
Experience—
  • 1-3 years of experience in healthcare preferred; experience in customer service desirable; must be able to handle client information discreetly
Knowledge, Skills, & Abilities—

  • Bilingual would be beneficial
  • Must have excellent customer service and communication skills and be comfortable with multitasking
  • Must be able to work a flexible schedule with ability to travel to multiple sites when needed
  • Ability to work independently
  • Proficiency in MS Office (Word, Excel, Email) is required with ability to work between multiple computer screens
  • Must be organized, able to prioritize tasks and handle multiple projects

  • Must have reliable transportation and a valid NYS driver’s license not in jeopardy of being revoked
Work ScheduleThis regular part-time (24 hours) position. Regular part-time schedule will be days Monday, Wednesday, and Friday (Clinic hours). Full-time schedule is possible with travel to other facilities.
CompensationThe minimum starting rate for this position is $16.50/hour.
