Summary of Responsibilities :
The Office Assistant is responsible for general organization and coordination of office operations and procedures to ensure organizational effectiveness and efficiency.
Essential Duties:
  • Greet visitors and record sign in sheet for all visitors.
  • Administer and maintain our water and shredding account.
  • Updates job knowledge by participating in educational opportunities and completing 20 annual Continuing Education Units per F.A.C. 65D-30.
  • Coordinates phone extensions to new employees with IT, updates and distributes extension list to staff.
  • Maintains an inventory of and orders all office supplies, books, and reference materials.
  • Administrates and maintains all communication with Copier and Fax personnel and other outside vendors as required.
  • Responsible for scanning for all departments when needed.
  • Answer telephones, screens and direct calls in a friendly and timely manner.
  • Plan and book travel accommodations for Executive/Management team
  • Retrieve mail for/from clients and distribute to all departments.
  • Draft forms, letters, and other correspondence as needed.
Necessary Abilities:
  • Operate a multi-line phone system – ability to make changer for the internal phone system through
DSX software.
  • Knowledge of State & Federal Statutes Regarding Patient Confidentiality laws.
  • Operate a fax/scan/copy machine.
  • Is knowledgeable of Clients Rights and treats all clients with dignity and respect in a consistent caring manner; adheres to federal confidentiality standards (HIPAA).
  • Computer knowledge and use of computer systems a must. KIPU medical records system.
  • Ability to communicate effectively with staff, management, and vendors.
  • Understands the principles of psychiatric and addictions treatment.
  • Ability to prioritize workload and work independently.
Non-Essential Job Functions:
  • Frequent sitting and standing- this position includes working inside in a temperature controlled environment, and occasionally lifting up to 25lbs or more.
  • Diligently follow HIPAA regulations when screening calls regarding clients.
  • Assist clients with questions or needs
Minimum Qualification:
  • Excellent written and verbal communication Skills.
  • Prior substance abuse treatment experience preferred.
  • All employees may be required to work before, during and/or immediately after a natural or man-made disaster.

$21 / Hourly
