Job Description

Duties

  • Schedules appointments and manages follow-up as outlined in Veterans Healthcare Administration Policy.
  • Coordinates with medical clinics to send patients for required tests, pre-operative procedures, therapies and scheduled appointments based on doctor's instructions.
  • Evaluates patient information and clinic schedule lists to determine whether the patient requires an immediate appointment.
  • Enters no-show information and monitors appointment requests from multiple electronic sources
  • Manages patient systems to verify and validate accuracy and resolve issues.
  • Works collaboratively in an interdisciplinary coordinated care delivery environment (i.e., patient aligned care team, or other specialty care.
  • Maintains the consult tracking package and other tools available such as, Health Share Referral Manager (HSRM), Community Provider Locator (CPL), Provider Profile Management System (PPMS), third-party administrator portals, Screening and Triage Tool (STT), Consult Toolbox (CTB), Consult Tracker Manager (CTM) and Veterans Health Information Exchange (VHIE).
  • Informs inter professional team members about shared patients (i.e.)., those who receive their care at multiple VA centers or those who receive care in the community.
  • Explains requirements and criteria for different areas such as community care, referral coordination, pharmacy benefits, dental care, prosthetics, beneficiary travel and other special authority programs which may affect the scheduling of care.
  • Utilizes the tools available for determining CC eligibility and the options available for scheduling the Veteran.
  • Schedules, cancel, re-schedules patient appointments and/or consults.
  • Performs assigned duties in a manner that promotes quality health care, outstanding customer service, and the maintenance of an environment committed to serving the Veteran.
  • Monitors outpatient appointments in areas of responsibility; and verifying and updating demographics when contacted by patients.

Qualifications

Grade Determinations: In addition to the basic requirements for employment listed above, the following criteria must be met when determining the grade of candidates:
Advanced Medical Support Assistant, GS-0679-06: In order to be found qualified for this position, you must possess the following;
Experience. One year of experience equivalent to the next lower grade level (GS-05). Examples of experience at the next lower grade must include; providing specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model; managing and tracking follow-up care on consults and progress notes; setting priorities and managing deadlines to meet the needs of the Veteran and team; scheduling appointments; utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery mode; coordinating with the patient care team to review clinic appointment availability to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics and makes adjustments as necessary; evaluating patient information and clinic schedule lists to determine whether the patient requires an immediate appointment; and informing team members about shared patients.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
  • Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations
  • Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational level.
  • Advanced knowledge of the technical health care process as it relates to access to care.
  • Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
  • Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.
  • Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.???????

Physical Requirements: Typically, the Advanced Medical Support Assistant must be able to operate a computer terminal and be able to manage multiple activities at one time. Work is generally sedentary; however, there may be some walking, standing, bending, and carrying of light items.
Work Environment: The work may be stressful due to the accelerated pace for several hours at a time during peak clinic hours or on days that have a large volume of clinic activity.
