Job Description

GreyZone, a medical advocacy boutique practice helping patients with difficult-to-diagnose, rare, and complex medical conditions, is seeking a Medical Office Manager to join our team. This is a virtual, part-time contract-to-hire role for our fully remote office.

As the Medical Office Manager, you will work alongside a team of medical professionals to ensure the smooth functioning of the office. You will be responsible for coordinating and streamlining day-to-day operations, providing exceptional internal and external customer service, managing administrative tasks, and building our HR department.


You will be expected to deliver high-quality work with a fast turnaround and under minimum supervision. The ideal candidate is a reliable go-getter with a positive attitude and a passion for the medical/healthcare industry. They are self-motivated and trustworthy. Have superb customer service skills and a pleasant and upbeat personality. They possess a can-do attitude, finding ways to solve problems effectively and efficiently. They are excellent at prioritizing, work with a sense of urgency, and are proficient at working remotely with little supervision. They are tech-savvy, easily handle software and apps, and learn quickly.


Responsibilities

  • Help streamline office operations, including SOPs, internal policies, HIPAA compliance, etc.
  • Address employees’ queries regarding office management issues (e.g. procedures, software, hardware, travel arrangements, etc.)
  • Develop and maintain patient satisfaction standards to ensure a consistent level of service.
  • Provide administrative support, record keeping, and maintaining databases.
  • Manage communications with patients, the GreyZone advocate team, and business contacts, ensuring timely and accurate responses.
  • Oversee and coordinate day-to-day office operations.
  • Lead HR oversight, assist in recruiting and onboarding of new team members


Requirements

  • Bachelor's degree in healthcare administration, business or a related field.
  • Minimum of 5 years of experience in medical office management or a related position.
  • Ability to multitask and manage deadlines.
  • Exceptional problem-solving skills, ability to identify issues, develop solutions, and implement change.
  • Strong communication, interpersonal and organizational skills.
  • Human resources management
  • Proficiency with Google Drive and MS Office suite, ClickUp, Mailchimp
  • Experience with electronic medical records (EMRs) and practice management software.
  • Ability to work effectively with diverse groups of people.
