Pay Range: $18 - $20 hourly
Position Summary: This is an entry-level position that provides assistance primarily to the HR team, and secondarily to other team members in the corporate office as needed. Will be responsible for day-to-day HR administrative duties, as well as office admin and to assist with other projects as required. The successful candidate possesses strong administrative, communication, project management and decision-making skills who can balance multiple priorities.
Duties and Responsibilities:
Responsibilities may include, but are not limited to:
- Completing verifications of employment and unemployment responses
- Ordering breakfast/lunch for corporate meetings
- Maintaining venue certification booklets
- Ensuring all new hires complete an I9 document prior to their first shift- collect proper documents and complete employer portion of the I9
- Perform other ad hoc duties as required
- Assisting in tracking manager training checklists and properly recording them
- Delivering and posting important information to venue bulletin boards
- Creating quarterly Microsoft check-in lists for each venue
- Assisting HR recruitment efforts by confirming and scheduling interviews and following up with managers for their post interview feedback
- Assisting in the planning and coordination of office holiday events and outings as needed
- Assisting in planning, and attend special events and trainings, including weekly new hire orientation
- Mailing out monthly birthday cards
- Assisting in day to day operation of the corporate office by maintaining a clean space and conference room, watering plants, distributing mail, changing the clocks, etc.
- Tracking company assets
- Running errands as needed, such as going to the post office or embroidery shop
- Managing and maintain the inventory of RMD Group branded merchandise, ensuring its availability as needed
- Managing and distributing monthly celebration flyers and anniversary gifts
- Maintaining office pars and ordering supplies
- Purchasing snacks for special events and trainings
- Maintaining and filing employee records for all venues
Qualifications:
- Must have proficient computer experience in Microsoft Word, Microsoft Excel, Microsoft Power Point, Microsoft Teams and Microsoft Outlook
- Minimum 1 year of prior executive administrative experience required
- Background or interest in HR preferred
- Hospitality experience preferred
Skills and Attitudes:
- Must have a positive, outgoing attitude
- Must be able to work occasional nights and/or weekends as necessary
- Demonstrates ability to anticipate the needs of others
- Must be extremely organized and detail-oriented
- Must possess strong written and verbal communication skills needed to interact with a variety of people and job functions
- Must be willing to take on new challenges
- Must exercise discretion and independent judgment
- Must thrive in a fast-paced environment
- Must be able towork independently and make sound decisions that impact the company, free from immediate direction or supervision
Education:
- High School Degree or equivalent required
Certificates, Licenses, and Registrations:
- Annual expectations will be set for ongoing learning and may include acquiring certifications, licenses and/or registrations that are applicable to the responsibilities of this position.
