Key Responsibilities:
• Responsible for overall office management making sure that the office is always well managed, tidy and in good shape
• Act as the General Managers Executive Assistant and assist in various projects
• Ownership of all paperwork linked to customs clearance, inbound shipments, deliveries, payments etc in collaboration with clients, 3PL, shipping companies, customes brokers and customs authorities.
• Ensure that we are compliant with US regulations for import and that the quality of 3PL partner is of highest quality and that KPIs are measued and met overall and by client
• Coordinate collaboration between 3PL partner and domestic distributors
• Responsible for SCM matters and coordination of data exchange and reporting with clients
• Ensure all documentation and new clients is set up and maintained in an organised and correct manner
• Coordination of all HR related matters including payment of salaries, VAT payments, taxes, insurance, travels bookings, event preparations
• Work closely with Business Controller to ensure that costs are well managed overall and by client as well as providing regular reporting to management
• Provide recommendations for improvements to reduce costs, maximise efficiencies and improving processes within areas of responsibility
• Train, lead and manage Customer Service Team to ensure best possible service to consumers
• Participate in meetings making sure agendas are prepared/ distributed and minutes taken
• Support management in preparations of various presentations both external (such as customer proposals and offers ) and internal (such as board meeting presentations)
Requirements:
• Minimum 5 years experience from similar role
• Fluency in verbal and written English is a must
• Strong analytical skills, well organized, and commitment to accuracy
• Good communications skills
• Strong team player but with ability to work and take decisions independently
• Ability to work in a fast paced and fast changing working environment
• Problem solver with a “can do attitude”
• Ability to to take quick decisions even with limited information
• Willingness and ability to grow with the business
• Flexible working hours since we operate over different time zones (HQ/clients in Sweden)
• High level of proficiency in MS Excel, Word and Powerpoint
