The Role: Executive Assistant


The Opportunity


The Executive Assistant plays a key role to ensure the Chief Financial and Chief Strategy Officers are prepared for all meetings and interactions throughout the day. The Executive Assistant will organize and leverage time effectively by managing complex schedules and calendar items accordingly.


Success in this role requires an individual capable of providing complex administrative support for highly confidential matters, an organized team player and strong ownership evident through responsibility and accountability for end product.


Flexibility to provide reception on a rotating schedule and the ability to work an occasional evening or weekends is required.


The Work


  • Maintains confidential administrative information and distributes communications as appropriate or as directed
  • Replies to routine correspondence, transcribes dictation, prepares data and creates presentations, reports and graphs required by senior leadership
  • Orders office supplies and maintains department filing system
  • Takes and distributes minutes at management meetings; prepares reports and other materials, which are often complex and extremely confidential
  • Assists organizational leaders with the coordination and administration of all necessary departmental documentation. This may include audit of records, compilation of results, charting and dissemination of results and participation in performance improvement processes
  • Work closely with our Credentialing team, occasionally providing coverage as needed
  • Answers phones and processes mail as necessary for the continued smooth operation of their assigned functional area
  • Coordinates a dynamic meeting schedule for Chief Medical Officers including arranging for in-person meetings and conference calls


You Have


  • Self-directed, able to take initiative, problem solve, and exercise independent judgment
  • Basic knowledge of finance terminology
  • Expert use of Microsoft teams, the Microsoft suite with advanced experience with excel, power point, and project based work
  • Professional demeanor, a positive attitude, and superior people skills
  • Trustworthiness, discretion, and ability to handle confidential and sensitive information a must!
  • Excellent verbal and written communications skills
  • Proficient with Outlook, Microsoft Office Applications & PeopleSoft
  • Ability to handle and prioritize and adapt to rapidly changing needs and priorities
