UW’s Seattle campus comprises over three hundred buildings and fifteen million gross square feet, including a major medical center/teaching hospital, state of the art research facilities, classrooms, offices, sport and recreation facilities, dormitories, utility distribution systems, eight miles of utility tunnels and two central utility plants. UW Facilities manages the University’s buildings, infrastructure, and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Campus Architecture and Planning, Project Delivery Group, Sustainability and Engineering Services. The Operations group includes, Maintenance & Construction, Campus Utilities, Operations and Energy, Building Services, Transportation Services and Safety. Supporting these groups, as well as the separate Emergency Management team and Real Estate Office, are the Business Intelligence & Information Technology group and the Finance & Administration group.
Campus Utilities, Operations and Energy has an outstanding opportunity for an Engineering Records and Drafting Manager .
Under general supervision and guidance from the Director, the Engineering Records and Drafting Manager oversees the Records and Drafting department and is responsible for the collection and integrity of the information for all UW campus projects generated by Facilities through programs such as Transition to Occupancy (T2O). This includes everything from managing document collection and recordkeeping from various Facilities departments to ensure that Facilities staff readily have information available to plan and execute projects, repairs, and maintenance.
This position will be responsible to develop processes to help ensure that the information needed by Facilities Maintenance and Construction (FMC), Project Delivery Group (PDG), and other Process Partners at the University is being maintained and collected effectively utilizing innovative tools such as CMMS, EDMS, BIM, etc. Creative thinking about how the University can receive, store, and make accessible important facility information is welcomed.
Primary Duties and Responsibilities
Provides leadership, strategic planning, and personnel management for the Facilities Records and Drafting programs.
  • Responsible for managing, coordinating, and maintaining the integrity of all University of Washington Facilities asset information.

  • Establishes expectations for assigned staff and manages workload assignments to support a wide range of data support to UW Facilities departments and the campus community.

  • Tracks expenditures and revenue to ensure cost effective management of resources.

  • Manages and trains staff in the development, administration, and implementation of technologies in building and utility records documentation and storage. Includes but is not limited to, Computer Aided Drafting/Design (CAD), Building Information Modelling (BIM), and applications employed by future Capital projects.

  • Manages and directs the data management systems for UWF.

  • Manages, develops strategy, and provides recommendations to leadership for improvements to better serve clients.

  • Positively supports all management directives and ensures adherence to all University and UW Facilities policies and procedures. Participate in and follow through with Facilities’ process improvement initiatives, incorporating LEAN principles into internal work process.

  • Manages associated budgets for the department.

  • Hiring and performing performance reviews of staff.

  • Manages and direct the provision of data/BIM/CAD technology expertise for campus operation, maintenance, and facility projects.
  • Ensures appropriate Engineering Services technical assistance, recommendations, and engineering solutions are available to prevent and/or resolve major operational and maintenance problems.

  • Develop BIM, CAD, eO&M, Asset Management, and floor plan criterion for efficient submittal of project documents and utilization for end users.

  • Manages data integration engineering support during all phases of construction and maintenance.
  • Ensures data timeliness and information accuracy through collaboration with PDG, FMC and contractors.

  • Manages and oversees day-to-day services including updates to floor plan layouts and room numbering in buildings across campuses, updating MEP, architectural, and civil drawings for the records in the Facilities Information Library (FIL) and other University applications

  • Develops and maintains standards, policies, and procedures for quality control such that closeout documents (i.e., eO&M) received from Project Delivery Group and Facilities Maintenance projects comply with standards and utilize proper data transfer procedures (i.e., T2O).

  • Manages the FIL, ensuring the database, software, and applications are operational and accessible to clients and document integrity exists within the system.
  • Establishes policies, methods, procedures, and work rules for the FIL system to meet the security protocols and document quality standards.

  • Requirements Include:
  • Bachelor's degree with four to five years of management experience of technical staff (drafters and/or engineers).

  • Solid communication skills with ability to speak and write about technical issues for both technical and non-technical audiences.

  • Technical and management leadership skills, including communication, planning, analytical, and supervisory skills, broad knowledge of technology trends and practices, experience developing and implementing large and complex projects, experience with and commitment to collaborative and participatory management.

  • General knowledge of web/internet hardware and software technologies, along with an ability to communicate on technical subjects effectively with non-technical staff.

  • Working knowledge of online data storage programs and Microsoft Office products

  • Experience with Bluebeam and RevIt.

  • Experience with Microsoft SharePoint.

  • Experience in at least two fields of drafting.

  • Experience in data analysis and data management.

  • Self-driven with ability to work both collaboratively and independently.

  • Ability to conduct business in a professional manner, proficient in developing and enhancing interpersonal relationships, able to manage difficult people and situations, and produce results with minimum direction.

  • Ability to learn new skills and appropriately prioritize tasks.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    Desired:
    • Certified professional in CAD or BIM
    • Experience with graphical program languages
    • Experience with computerized document management systems
