Job Description
POSITION: Client Care Coordinator


DEPARTMENT: Administrative Support


REPORTS TO: Lead Front Desk Client Care Coordinator


JOB SUMMARY: The Client Care Coordinator position is one of the most important positions in the Center as they are the point of first contact with the practice and the last person seen when leaving the Center for the day.


PRIMARY RESPONSIBILITIES:


  • Assist with laundry and other daily tasks as assigned
  • Reconcile cash, credit card, and cash collections on a daily basis
  • Promote retail products and services such that our clients are fully engaged with the breadth of

  • Assist with inventory control by the Front Desk Team
  • Participate as a member of a team of Front Desk Client Care Coordinators
  • Participate in ongoing educational, professional development, and training opportunities
  • Collecting payment for retail products and services
  • Phone confirmation of patient appointments
  • Respond to online client inquiries immediately upon submission when tasked with this
  • Assist with booking, checking in and checking out clients
  • Ensure that client documents are entered into the file system (soon to be electronic)

DESIRED EDUCATION AND EXPERIENCE:


  • Understanding of regulations and standards pertaining to quality assurance and patient confidentiality
  • Knowledge of medical records and HIPAA standards
  • Minimum 1 year experience in cosmetic, plastic surgery, dermatology offices, or retail cosmetic sales department
  • High school diploma, college degree or associate degree a plus
ESSENTIAL SKILLS AND ABILITIES:


  • Superior interpersonal and communications skills
  • Dedication to high quality patient care and efficiency
  • Strong problem solving skills
  • Computer literate with experience in patient scheduling, Microsoft Office, (CRM and electronic health record desired)

  • Assist when called upon to ensure smooth flow of all aspects of practice operations
