The Business Operations Manager monitors departmental performance against operational goals and develops reporting and auditing processes used to analyze operational effectiveness. This position serves as a liaison between departmental team business owners, external vendors, Accounting/Finance, Legal, and Procurement and responds to ad hoc requests for support. The Business Operations Manager supports the department management team by providing trending and performance data and also support special projects as needed.
Duties and Responsibilities:
- Creates and maintains standard related reports to support operational and development needs.
- Researches and approves third-party vendor invoice payments to Accounting.
- Manages reporting and requests for ad hoc reports to support sales, implementation, new product development, specials.
- Oversees accounting, bank processes and money handling, monitoring the financial data and recommending solutions to improve profitability.
- Lead and coordinate department level conferences and events.
- Creates and submits Requisition Purchase Order requests to Procurement.
- Ensures all operations run efficiently and align with quality standards, achieving better business practices and improved processes. Responsible for department budget oversight.
- Manages the contract negotiation process, including evaluating contract agreements and documents, negotiating terms with clients and customers, and resolving contract disputes.
- Performs other duties as assigned.
- Creates, secures, and processes department contracts with third-party vendors and/or clubs.
- Manages annual auditing requests for department.
- Develops strategic initiatives that can improve efficiency throughout department operations.
- Supports monthly financial reconciliation, budget upkeep, and forecast reporting.
Requirements, Competencies, and Certifications
- Knowledge of business and management principles involved in operations planning, resource allocation, and coordination of people and resources.
- Ability to monitor and assess self-performance and departmental performance to make improvements or take corrective action.
- Demonstrates an awareness of strengths, limits, and areas to improve.
- Ability to analyze information and evaluate results to choose the best solution and solve problems.
- Openly shares and solicits ideas through dialogue; is clear about intentions.
- Strong organizational and project management skills.
- Uses time effectively with strong time management and organizational skills; anticipates obstacles, adjusts priorities as needs change and keeps others informed of progress
- Knowledge of principles and processes for providing professional services. This includes meeting quality standards for services and evaluation of stakeholder satisfaction.
- Excellent interpersonal skills, self-motivated, and adaptable in a fast-paced, dynamic, deadline-driven environment.
Minimum Education and Experience:
- Project management and business analysis experience preferred.
- Bachelor’s degree in business management or related field and five (5) to seven (7) years related work experience.
Hiring Range:
$88,735 - $103,000
The position is also eligible for participation in AAA, Inc.'s Annual Incentive Plan.
