Position Summary

The Associate Director works with the Director of the Visit Experience to strategically lead development of the Visit Experience including overseeing the execution of daily visits and special events. The position has primary responsibility for the activities and interactions in the Sumers Welcome Center and oversees a staff of 5 Admissions Counselors and 3 event coordinators. The Associate Director sets the standard of the experience for daily visits and special events and works to ensure customer service, greeting and assisting visitors, parking, and on-campus experiences exceed the expectations of all visitors to the university. The role works across the division to support visitors to Admissions & Aid including prospective students & families, college counselors, and current students and families, in addition to any visitor who enters the Welcome Center. Additionally, the position oversees the Welcome Center facility and budget, ensuring the facility, utilities, equipment, and furnishings are “ready for company” at all times and working with campus partners and external constituents to coordinate use arrangements.

Primary Duties & Responsibilities

  • Oversee the $200,000+ budget for the Sumers Welcome Center and the daily visit experience including parking, hospitality and give-away materials. Oversee event budgets to ensure they align with divisional standards and objectives.
  • Provide direction and oversight to the three event planners who are responsible for planning and executing exceptional on- and off-campus recruitments, both in-person and virtual. The Associate Director must monitor task lists for all events within the department and provide priorities, guidance and support as needed. The Associate Director is responsible for long-, medium-, and short-term planning. Responsible for hiring, on-boarding, goal-setting, and annual evaluation for three event planners.
  • Work with the Director of the Visit Experience to design and execute innovative campus visit and special event strategies to engage prospective students, parents, and high school counselors to ensure they learn about and develop affinity for Washington University.
  • Perform other duties as assigned.
  • Responsible for data integrity in the Undergraduate Admissions system as it relates to visitor and prospect data. Assist with creating online visit registration portal, reviewing visitor feedback, and analyzing effectiveness of daily and special event visits. Bi-annual review of procedures and updates to documentation are required. Provide on-going training for staff.
  • Develop standards and direct training for the day-to-day visit experience in the Sumers Welcome Center. Direct the work of five Admissions Counselors. Provide appropriate training for all team members (approximately 50 people) who interact with visitors to ensure an excellent experience for all visitors at all times. Oversee the facility operations of the building. Manage the access to and cleaning of the public and admissions office spaces. Use available data to forecast staffing needs and set schedule to ensure adequate staffing. Extra hours (nights and weekends) are sometimes required. Responsible for hiring, on-boarding, goal-setting, and annual evaluation for five admissions counselors.

  • Standing at a kiosk in the Sumers Welcome Center.
  • There is some lifting of materials.
  • Walking visitors to other locations on campus is sometimes needed also, as is knowledge of office equipment.

Required Qualifications

Bachelor's degree and five years of experience or equivalent number of years of education and experience to equal nine.

Salary Range

$55,600.00 - $94,900.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
